About the project

Building on our continued success, we are looking for a Team Organiser to join our team in London!

The role of the Team Organiser is primarily to support both the day-to-day operation and running of the UK and Middle East teams.

This is a highly adaptive and flexible role which encompasses a range of skills and service needs including clerical and administrative support, IT support & issues resolution, availability of office supplies and provision of travel and hotel accommodation to maximise the productivity of the teams.

What will you be doing?

Team Support

  • Manage the UK and Middle East teams’ domestic and international travel and hotel arrangements in line with NRC's Travel & Expenses Policy and agree arrangements with the appropriate team members;
  • Manage the Mobilisation and Demobilisation flights, accommodation and relocation arrangements for new joiners/leavers in the Middle East;
  • Arrange meetings, conferences and training (including preparation of agenda/minutes/attendance records if requested) as directed by team members;
  • Manage the booking calendar and provide hospitality (drinks/lunches) for meetings in the London office;
  • Act as the ‘Brand Book Ambassador’ in formatting project documents (i.e. – Letter, PowerPoint decks, memos. technical notes, reports, minutes etc) adhering to the NRC brand guidelines;
  • Manage the approval and execution of documents via Adobe Sign;
  • Co-ordinate the resolution of team problems regarding IT and office facilities (including arrangement of repairs and maintenance as necessary), minimising the impact on team productivity;
  • Provide SharePoint administration support to the Global NRC team;
  • Administer access passes for the London office;
  • Coordinate the on-boarding of new employees, relevant IT and communication equipment, logins, office access and PPE;
  • Provide ad hoc administrative support to UK and Middle East teams.

Office Management

  • Undertake general office administration duties including control of all mail and couriers, greet guests, undertake safety briefing to all visitors and provide refreshments to visitors.
  • Utilise financial and procurement systems and act as Local Purchasing Agent (where advised) to order stationery, consumables, business cards, specialist printing, etc.
  • Assist in preparing bids, CVs and project sheets as requested.
  • Ensure all office equipment is safe and working at all times (i.e. printer, VMR etc).
  • From time to time, it may be necessary to undertake Billable Tasks to assist during times of peak workload.

Skills, Experience & Qualifications

  • Advanced level MS Office skills (particularly WORD), including SharePoint, and good general IT skills at the administrator level;
  • Excellent organisation, communications and time management skills;
  • Customer focused (internal and external);
  • Ability to build work across a multidisciplinary team and build relationships at all levels;
  • Recognised qualification in office management would be desirable
  • Knowledge and experience of records management; and experience of working in a professional services company is also desirable
