About the role
Provide comprehensive administrative support across the Security function and the wider General Counsel directorate as required. Specifically, to ensure effective and efficient running of the departments physical and digital administrative processes systems.
Important note: The role holder will be required to obtain specific security clearance to hold the post. Applicants do not require this in advance of applying. Key Responsibilities
- Responsible for working as part of an administrative team to maintain administrative process across the directorate. Including but not limited to; PO and Invoice management including day to day contact with vendors, creating ad hoc reports, managing distribution lists and organisation charts, managing administration of digital tools used in directorate, supporting with room booking management – as required, managing department ticketing and reward and recognition initiatives.
- Manage end to end purchase to pay process across GCO and day to day contact with vendors to ensure invoices are submitted and paid
- Ensure compliance of onsite activities at Northampton Security Site, including meeting room management, and handling sensitive information – with travel to this site when needed, if not based locally
- Security clearance to support Security function and Security Director with administration, compliance, and governance activities
- Co-ordinate the delivery of team events within and across the GCO directorate. And as directed internal and external meeting support, including room booking, travel and ensuring logistics and technology for the meeting is fit for purpose
- Responsible for maintaining document filing, archiving, and maintaining exceptional record keeping in line with organisations documentation retention standards/policy. This includes digital and physical document management
- Support the directorate with confidential projects and administration of activities of a confidential nature, as requested, including administration of security vetting processes
- Support as required with activities related to the offboard/onboarding of colleagues including but not limited to providing appropriate systems access, ordering company equipment.
- Support with management of post and email correspondence efficiently, ensuring it’s directed to the correct recipients
- Identifying opportunities for improving processes and increasing automation of administrative activities across the department. Supporting the Business Manager and GCO teams with delivery of change projects as required
- Lead on engagement initiatives across GCO, and support with sub-team engagement activities working with leaders, teams, and engagement champions
- Ensure information related to GCO on company systems is accurate and up to date, including but not limited to, updating information on intranet sites, workplace, finance and HR systems
- Support with monitoring of processes, data, and audits, as requested, in order for the company to comply with regulatory and government requirements.

- Ability to travel between key office locations as needed to support GCO, including Northampton, Reading, Hammersmith.
- Northampton being visited weekly
- Excellent organisational, prioritisation, time management and decision-making skills
- Proactive approach to mitigate administrative and logistical issues
- Ability to manage high volumes of administrative tasks
- Exceptional attention to detail
- Highly proficient in Microsoft office applications and other corporate software and IT tools
- Exceptional written, verbal, and interpersonal skills
- Continuous improvement mindset
