The FIT department provides a fast traditional e-mail service from “hotel only” reservations to package itineraries and everything in between. A Tailor-made division specialises in fully customised luxury experiences & extended private touring, working with our partners every step of the way to plan and deliver unique memorable trips for our guests.

TAILOR-MADE RESERVATIONS CONSULTANT – Angela Shanley Associates Ltd.

· Quoting & booking: You will respond to booking requests allocated to you, securing availability from our contracted local partners. Or negotiate with any uncontracted suppliers for any services (accommodation and/or ground) and processing accordingly via the Tourplan NX system and any other 3rd party systems (supplier & partner) according to the company procedures. Likewise, you will respond to any quote requests allocated to you by e-mail supplying a detailed offer according to the specifications given in the quote request or the specific quoting methods required per partner. You will include accurate details on pricing, cancellation policy, child policy and any other relevant terms. All correspondence will be clear and concise to avoid any misinterpretation.

· Booking Management Managing the operation of your bookings in accordance to company guidelines ensuring you have secured all services at the time of confirmation. Ensuring this is communicated clearly and on time to our partners including updating any 3rd party systems according to their correct process if applicable along with following correct procedure for any issued voucher or e-tickets. Additionally, handling the operations of any quoted/confirmed files from colleagues as instructed. · Daily responsibilities: You will follow current company and department procedure. This includes (but is not limited to) responding to your daily allocation of new bookings, the timely response to all new enquiries including setting any response time expectations if required, regular review of any pending enquiries you may have, being alert for any double bookings, collecting pre-payments for those partners not on credit, the correct storage of files, emails & documents for future referral and XML & portal requests/cancellations when on weekend duties taking into account different time zones.

· Inventory: You will be fully familiar with all the general allocation and sub-allocation splits for any preferred partners. You will ensure you make correct usage of our inventory and when applicable you will refer to the team supervisor / manager to maximise use of inventory.

· Tariffs: You will understand our use of price codes and which relevant overseas partners benefit from those respective codes. You will be aware of any relevant special offer or flash sales to avoid invoicing issues caused by incorrect option code selection.

· You will be tracking and monitoring the progress of bookings and their operation will be closely monitored to ensure the team are meeting quality & service levels ensuring you meet the standards and take responsibility for your work.

· Taking part in regular fam trips & other similar activities will continue to be arranged by the Procurement team.

· Communicate effectively with your supervisor/manager about any complaints you will be dealing with so they are able to provide support & guidance should you need.

· Working quickly and accurately, at times under pressure, within acceptable timeframes.

Collecting pre-payments on time for any bookings made by agents without credit and informing your line manager of any issues before the cancellation policy starts.

Preparing and delivering welcome packages / tickets for clients when applicable, keeping all delivery notes for future reference.

Job Type: Permanent

Salary: £21,000.00-£24,000.00 per year
