TAILOR-MADE RESERVATIONS CONSULTANT – Angela Shanley Associates Ltd.·
Quoting, booking and operating of, primarily but not restricted to, Tailor-Made & VIP bookings for FIT clients.
Effectively using the Tourplan system as well as other IT software, Excel, Word etc, ensuring good oral & written skills are maintained at all times.
Keeping up to date with any special tactical valid for agent / market and using them effectively.
Negotiating ad-hoc special rates for agents when specific budgets need to be met.
Working quickly and accurately, at times under pressure, within acceptable timeframes.
Finding suitable alternatives and/or best available rates when the service requested is either sold out or not available on our contracted rate.
Accurately offering best available pricing, detailing exactly what is included in the rate and applying the correct levels of commission.
Contributing to the development and expansion of existing itineraries as well as making suggestions for new programmes.
Adapting and changing existing itineraries to incorporate client’s needs, wishes and budgets, showing full flexibility at all times.
Communicating effectively with colleagues in your team and the rest of the office.
Referring any booking / operational issue that may arise to your line manager for guidance.
Ensuring that when booking provincial or non-contracted services they are reconfirmed correctly and relevant hotels / suppliers have confirmed credit for ASA / bank transfers have been arranged or credit card payment made.
Collecting pre-payments on time for any bookings made by agents without credit and informing your line manager of any issues before the cancellation policy starts.
Preparing and delivering welcome packages / tickets for clients when applicable, keeping all delivery notes for future reference.
Assisting in the training & integration of any new staff members, along with checking of their work.
Informing management of any complaints immediately and acting accordingly under their instruction.
Attending regular hotel familiarisation trips and in house product training sessions, as well as assisting when required in operation of overseas agent familiarisation trips, involving a certain amount of time out of office hours.
Assisting accounts by checking and processing purchase invoices when required.
Informing management of any rate discrepancies you may experience that puts the company at a disadvantage.
Providing your immediate colleagues and the rest of the company members with support at all times whenever necessary.
Maintaining excellent communication with suppliers and overseas agents at all times as well as championing high levels of customer satisfaction within the company.
Actively contributing towards a positive team-spirit with fellow colleagues at all times.
