The post holder will provide comprehensive support, user guidance and maintenance to improve business, administrative and clinical processes through the Trust's electronic applications.
The post holder is responsible for the management and system administration of clinical systems, providing specialist advice, support and solutions. This includes working on new projects, and developments within digital systems across the organisation. Gathering requirements, testing and analysis of any enhancements will need to completed ensuring coverage across all sites including effective implementation.
Liverpool University Hospitals NHS Foundation Trust was created on 1 October 2019 following the merger of two adult acute Trusts, Aintree University Hospital NHS Foundation Trust and the Royal Liverpool and Broadgreen University Hospitals NHS Trust.

The post holder will provide support to systems across the trust which include a range of clinical and non-clinical systems requiring application management, business systems administration where appropriate, data quality and data assurance as applicable the needs of the trust.
Some of the supported applications are part of the national reference solution offered by the Local Service Provider , other systems have been procured or developed locally and are bespoke to the requirements of the trust.
The post holder will work as part of the Information Systems Support Team and will make every endeavour to reduce key person dependencies within the team.

Key responsibilities
1. Working with departments the application specialists will be responsible for the set up and maintenance of the applications that the team has responsibility for.
2. Co-ordinators will ensure that documentation on the configuration, set up and use of the systems are kept up to date.
3. Co-ordinators will provide expert advice to the trust in order to ensure that supported information systems meet National and Local standards and will work with system providers to fill any shortcomings.
4. To be responsible for ensuring that processes are followed for implementing system changes (which may include the logging and requesting of changes) by liaising with internal users and external suppliers.
5. To analyse, investigate and recommend/resolve complex issues/problems. This may include the identification of the source of the error and provide corrective actions (workarounds) while a more permanent fix is identified.
6. To provide information, analytical or narrative to appropriate groups within the team and wider Trust to demonstrate appropriate system use and monitoring of targets (either directly or by ensuring appropriate data is available).
7. Co-ordinators will be experts in at least one major system in use in the trust, including the complex interactions with other supported systems.
8. Co-ordinators will be required to interpret and communicate complex issues to non-technical staff. They will also be involved in the preparation of information for SLA
9. Co-ordinators will ensure all incidents are logged in the incident management system and calls are updated accurately and in a timely manner, accounting for breaches, should they occur.
10. To achieve their objectives Co-ordinators will work independently and will have the freedom to act and make decisions, but will keep their line manager fully informed.
11. Co-ordinators providing 2nd line support will organise their own work and will need to be responsive to variable workloads and interruptions from other staff.
12. As Co-ordinators they will initiate, plan and modify work packages providing advice/guidance on system usage and configuration. This will include working with end users to configure software to support the way in which they work. This will involve the interpretation of complex information, analyses and specialist knowledge.
13. Co-ordinators will undertake the testing and quality assurance for systems, or changes, that need to be presented to Change Advisory Board. They will ensure that the change is fit for purpose before being released to end users. They will also review the documentation that is provided to enable the support of systems.
14. To be involved in internal and external user groups and other meetings leading workshops to facilitate future system developments.
15. To assist in the integration and implementation of Information Standard Notices (formerly referred to as Data Set Change Notices) in a timely and well communicated approach in partnership with the trust, including liaising with other teams within IT and system users. Where there are shared systems this may involve other local or national organisations.
16. To work closely with other disciplines within the Trust including Programme Team, Business Change Team, Training Team and Technical services especially during the planning, specifying, reviewing, updating, upgrading of systems.
17. To play an active part and lead in Post Implementation Reviews of supported software and liaise with other disciplines within the department where corrective action is identified.

20. To assist in the provision of effective System Support and Development across, IT whilst supporting their performance measurement agendas, to help ensure that the business and governance needs of the Trust, statutory and commissioner requirements etc, are met to agreed deadlines
21. To assist trust Information Teams in ensuring all statutory, local and commissioning reporting and data set submission requirements are met by ensuring appropriate data capture within the system or application
22. Provide reports, as required, regarding the use of supported systems and data quality issues.
23. The post holder will be required to participate in the development and implementation of Key Performance Indicators and Critical Success Factors within the Trust around the end usage of system.
24. The post holder will be required to monitor delivery against these targets and produce reports detailing performance levels and provide supporting information to explain improvements or degradation in service, when appropriate.
25. The post holder will liaise with the Directorate Managers / Key stakeholders of systems to ensure they are briefed and up to date on any performance issues that may require discussion within the trust
26. By working with the Trust the Co-ordinators will implement policies and propose changes which may result in system developments being implemented including the preparation of documentation. These strategies/policies may be local and national.
27. To regularly liaise with staff within the trust on issues that affect the supported systems
28. To provide full support for audits on their areas and act on recommendations as appropriate..
29. The post holder will work within the constraints of the allocated project(s) budget, highlighting any cost pressures Committed to personal professional development and a willingness to undertake the full range of training and staff management required.
30. Ensure that they have a Personal Development Plan (which is reviewed six monthly) and ensure that their skills and knowledge bases are kept up to date to allow their services and the overall service provided by the Support Team is of a satisfactory standard.
31. Ensure that junior staff are trained in techniques, skills and approaches required to perform their duties.

- Degree level or equivalent knowledge gained through experience

- Experience of working as part of a team involved in Patient Administration Systems
- Experience supporting Trust wide systems (including clinical systems)
- Knowledge of NHS data definitions, standards etc and ability to interpret NHS policy and provide advice and guidance
- Experience of communicating issues to non technical staff
- Experience of working within a project using PRINCE2
- Substantial experience of using Microsoft Office applications and ECDL qualified (or equivalent experience)
- Use of Microsoft Project and Vision
- Experience of working with suppliers
- Experience of defining user requirements and interpreting them to system suppliers
