McMillan has an exciting opportunity as a Legal Support Services Coordinator (LSS Coordinator), in our Toronto office. The LSS Coordinator will join a dynamic legal support services team and will work closely with the National Manager, Legal Support Services, helping to support the daily administrative operations of the Toronto Legal Administrative Assistant group. The LSS Coordinator will also provide administrative support to the Document Administrative Support Hub (“DASH”), as required. This role does not have supervisory or performance management responsibilities.

This role offers a hybrid telework arrangement.

What You’ll Do

You will be a key member of the team who is committed to providing efficient and client-focused service. Under the supervision of the National Manager, LSS, you will:

  • Act as a first point of contact for LSS inquiries and assist with resolving simple, routine LAA matters
  • Oversee daily LAA absences and coordination of support coverage including sourcing coverage for urgent, deadline driven tasks
  • Coordinate, and participate, in local and national LAA meetings, assisting with setting agenda items, investigating issues raised, assisting with sourcing solutions and communicating back to LAAs
  • Assist with recommendations for share group structures and updating monthly share group charts, including LAA assignments for Summer Law and Articling Students
  • Draft routine communication to LAAs including notices of new hires, retirements, anniversary celebrations, information about LSS events or activities, and other information specific to LAAs
  • Support the planning and execution of LSS events and activities, including the annual holiday event
  • Recommend process improvements for increased efficiency in workload management for LAAs
  • Stay abreast of internal procedural changes that impact LAAs and assist LAAs with navigating those changes; act as a technology and change champion
  • Support national LSS projects and change initiatives identified as part of the annual LSS objectives
  • Assist with ensuring LAA compliance with annual vacation and Professional Development policies
  • Assist with recruitment including drafting job postings and reviewing candidate applications
  • Coordinate new hire communications and participate in new hire onboarding, including meeting with new LAAs and overseeing peer-to-peer mentorship assignments
  • Support the maintenance of national LSS resources, including organization of digital workspaces
  • Support the LSS and DASH Intranet Liaisons with updating content on the National intranet pages
  • Provide support to DASH, as identified by the National Manager, LSS including workflow coordination, assisting with preparing reports, and other tasks as required
  • Support other administrative tasks as requested by the National Manager, LSS and provide broader administrative support to the National LSS Management team as required

What You Bring

You are currently in a legal support role at a law firm or in a professional services environment, or you are a legal administrative assistant who is looking to take the next step in your career. You have a minimum of five years’ experience and a Legal Assistant or Office Administration Diploma. You have strong administrative, organizational and interpersonal skills. You display strong leadership skills, take initiative, are innovative and solution-focused. You are attentive to detail, are able to effectively meet deadlines, work well in a team setting, and you are able to think critically under pressure and exercise independent judgment. You are able to manage sensitive and confidential information. You have a keen interest in learning, embrace evolving technology, and have strong skills in Microsoft Word, Excel, PowerPoint, and Adobe Acrobat Pro.
