Who We Are Looking For:

Supply Chain Coordinator

General administrative and functional support for Supply Chain Department.

Supply Chain Administrator has several individual responsibilities and general administrative and functional support duties, performed on behalf of the Supply Chain function. As part of Supply Chain Team, they are also responsible for the following collective activities:

  • Coordination and liaison with Freight Forwarder for the collection, packaging, documentary preparation and shipping of goods, materials and equipment as demanded by Operational requirements in support of Kizomba Angola.
  • Ensuring that all Customs Authority Regulations are adhered to and that accurate records are maintained in support of compliant Import/Export controls.
  • Preparation of documents for line manager and client approval relating to Import and Export of materials and equipment in accordance with contractual requirements and country legislation.
  • Ensuring effective communication between the Procurement, Logistics, Freight Forwarder and Customs team members, other supporting departments and Operations.

Key Responsibilities

  • Ensure that all Purchasing requirements under their control are carried out in accordance with the Company Management System Procedures.
  • Ensure all requisitions are processed in a prompt and efficient manner in order to allow continuity of Company business requirements.
  • Where required, issue Request for Quote (RFQ) to suppliers and evaluate quotations received for a wide range of materials, equipment, and services.
  • Ensure that materials purchased are as specified, safe, fit for purpose, correctly documented and the most economic to fulfil the Company business objectives.
  • Ensure that all Regulatory procedures are correctly followed with respect to purchase requirements.
  • Expedite outstanding Purchase Requisitions and Purchase Orders as and when required.
  • Assist with other departmental tasks as directed by Functional Supervisor or Country Supply Manager.
  • Familiarise themselves with the Company Safety Policy and Procedures.
  • Highlight any safety issues or concerns to relevant people in a timely manner.
  • Plan, track, and report shipments according to internal and client requirements. Communicate with external parties e.g., Suppliers or Freight Forwarders to achieve full traceability and accountability to operations and clients.
  • Maintain and manage On Hands Report.
  • Assist in preparing accurate invoices and packaging lists for shipments and customs clearance.
  • Report logistic and quality problems, issues, and losses.
  • Assist in organizing transportation activities and review transportation costs where necessary.
  • Ensure that all incoming and outgoing shipments are in line with local and international Customs Regulations.
  • Secure the fulfilment of the needs and requirements of the operations in a cost-effective and efficient manner.
  • Provide support to Logistician.
  • Driving implementation and compliance of KCAD Group standards, procedures, and processes, ensuring they are followed, and best practices are utilized.
  • Ensure that all logistics tasks are processed with respect to technical requirements and in line with company policies, standards, procedures, and defined processes.
  • Participate in cross-functional Supply Management Projects.
  • Assist Buyer to ensure cost efficient and timely delivery of goods.
  • Ensure all work is carried out in accordance with the Company’s Policies and Procedures with special focus on Quality, Health, Safety and Environmental issues.
  • Liaise with and assist any third-party shipping or transportation function as required.
  • Stand-in for alternative work discipline as required.
  • Complete any other reasonable tasks as delegated by Line Supervisor.
  • Assist the Procurement and Logistics Team Leader as required during peak periods, absence etc.

Qualifications/Experience:

Minimum qualifications

  • Excellent Oral and Written English skills.
  • Intermediate Microsoft Excel, Word, Power Point, Outlook.
  • Basic knowledge of SCM policy, practice, procedure & principles.
  • Good communication, coordination, and organization skills
  • Knowledge of Supply Management related systems (SAP) is desirable
  • Self-discipline, mature attitudes and behaviours, respect and caring

Experience

  • Some experience in supply chain within an Oil and Gas or large process industry (petrochemical, pharmaceutical, utilities, CPG or food) is desirable.
  • Experience in customer service or logistics operations (Incoming shipments, customs clearance, handling dangerous goods, warehouse operations, inventory management) is desirable
  • Competent with SCM methodologies.
