Jestico + Whiles has a vacancy for a studio administrator to join its team in London.

We have an exciting opportunity for a studio administrator to join us in our Clerkenwell studio. This is a very varied role, supporting our whole practice. This office based role will give you the opportunity to broaden your experience in a welcoming, inclusive and creative environment. Job description:

  • assisting and supporting project teams in all project administration
  • assisting the accounts department where necessary
  • reviewing documents created by others to ensure spelling, grammar, layout and formatting are correct
  • printing and binding documents, reports, submissions etc.
  • updating and maintaining project and contact information on the company’s database
  • filing documents and emails in Newforma
  • administering project extranets, including uploading, downloading, recording, distributing and organising information as required
  • compiling expressions of interest, pre-qualification questionnaires and pitches in association with others
  • organising travel arrangements for colleagues and logging information
  • answering all reception calls in a polite, professional, welcoming manner, transferring calls, taking message
  • greeting visitors and dealing with them efficiently, in a polite, professional, welcoming manner
  • keeping the reception, central space and kitchen areas clean, tidy, and well organised
  • arranging meetings, booking and preparing meeting rooms
  • ensuring stationery cupboard and print room are kept tidy to assist in minimising wastage
  • ordering and monitoring paper, stationery and consumables
  • opening and distributing incoming mail, generating postage labels via Royal Mail website and taking outgoing post to Post Box or Post Office
  • ordering couriers as necessary
  • ordering kitchen supplies and undertaking regular stock checks
  • preparing leaving cards, organising collections and gifts
  • monitoring and managing incoming emails to the company mailbox
  • assisting with arranging office functions, events, exhibitions and excursions
  • liaising with suppliers as required
  • promoting the practice at all time

The successful candidate will have:

  • a pleasant welcoming and professional manner
  • excellent spoken and written English
  • good knowledge of general office software (Proficiency with IT, Outlook, Word, Excel, Microsoft Teams), intranet and administration systems
  • capability to learn new applications as required
  • excellent attention to detail
  • time management and organisational skills, ability to prioritise work to meet deadlines
  • self-motivated with the ability to use initiative and work unsupervised
  • ability to shift from task to task quickly
  • a proactive and innovative can-do attitude, with lots of common sense
  • stock control experience
  • an interest in architecture and interior design and the sectors across which the practice operates

Studio culture

Since 2017, we have been based at our light filled studio in Clerkenwell, at the centre of London’s architectural community. We host weekly gatherings where the entire practice comes together to share work in progress, alongside monthly practice updates. We take part in softball and five a side football against other London practices, as well as organising weekly yoga sessions and a lunchtime running club. Every other month, we host a practice lunch cooked in house by our employees. We also encourage external organisations to use our extensive social space for talks, installations, events and fundraising for charity.
