Reporting to the EA Team Manager, the Special Support Assistant will perform, coordinate and oversee a number of operational and business-related administrative duties while providing an extensive level of support to practitioners with specific accessibility needs. Their primary role is to enable practitioners to make the best use of their time and to ensure that work is handled effectively and efficiently without a need for constant or direct supervision. They will add value for the business by having a direct impact on enabling practitioners to operate more efficiently and effectively.

They will be the primary point of contact for internal and external clients on all matters relating to their practitioners and will serve as a key liaison to leadership and senior management teams. They will be a natural relationship builder, confident communicator with an ability to balance multiple priorities and upwardly manage where necessary.

The EA will be part of a team of other EAs, working as part of the Business Services team within Central Business Services (CBS). They will collaborate, support and cover for their EA colleagues working in an agile way to meet the requirements of the business. The EAs are a fundamental part of the CBS community which is brought together by five ‘golden threads’ uniting all CBS teams in what they do. They are customer focus; end-to-end process management; continuous service improvement; a digital backbone; and service and vendor management.

  • Coordination of the practitioner’s team and activities
  • Preparation of material and attendance at meetings to capture, drive and track actions
  • Championing the use of self-service tools and process support where applicable
  • Oversight of practitioner’s business, industry and current projects, with an understanding of objectives, timelines and critical milestones
  • Liaising with clients, colleagues and other EAs, including liaison with client peers for meetings, events and workshops
  • Extensive calendar and diary management with an ability to manage, delegate and make decisions
  • Requesting materials ahead of meetings and supporting the practitioner to become familiar with them in an accessible format
  • Working with meeting organisers or training course providers to make discrete considerations to assist practitioners when attending in person and supporting in unfamiliar locations when appropriate
  • Coordinating schedules, meetings and appointments
  • Answering and directing telephone calls
  • Managing practitioner’s inbox and drafting/sending responses
  • Arranging travel, pre-travel assessments, visas and booking accommodation
  • Supporting practitioners with their client relationship management through the Jupiter system
  • Maintaining and monitoring expenses (including Amex statement reconciliation)
  • Arranging dinners, events and public appearances etc.
  • Creating documents, letters etc using the Microsoft Office suite
  • Supporting and covering other EAs in the team for sickness/absence/increased workload etc.
