About the role


Ekco is looking for an organised and resourceful individual to help support our UK offices, including our brand new fully fitted modern HQ, in the City of London.


In the UK Ekco has over 120 people and there is a huge amount of organisation and logistics needed to ensure they are supported, with good quality office facilities and general support around access to services and equipment which allow them to be fully productive!


This is an excellent opportunity for someone who is looking to roll up their sleeves and get stuck in!


While this role is advertised as a full time role, we would consider candidates looking for part time, flexible hours on a minimum of 25 hours per week (days and times flexible and can be discussed during interview stage).


  • London HQ:
  • Based at our Moorgate headquarters primarily to support with deliveries, postal services and maintaining the working environment to name a few.
  • Our brand new fully fitted office space of 4000sft, supports 40 staff and a Client Suite for meetings and entertainment – it is imperative this is maintained and ready for action at any time!
  • Office Facilities:
  • Manage the day to day requests from the local teams to ensure that the office facilities are maintained and in good working order, including but not limited to:
  • Toilets and common spaces are maintained with our suppliers. N.B you will not be expected to clean toilets!
  • Maintain signage, office equipment, consumables, etc.
  • Supplier management for supporting contract services including Cleaners, M&E, Maintenance, etc.
  • Assist with Ekco Events, held at regional offices
  • Assist with on-boarding and off-boarding process with the People team, including delivery and return of equipment to London via courier(s).
  • Travel to other Ekco locations as required, which can all be reached by train.
  • Compliance:
  • Responsible for arranging activities to ensure we are legally compliant with areas such as Fire Risk Management, PAT Testing, Legionella Testing, Water quality, and office related HSE (training to be provided)
  • Management of all Health & Safety and Fire Training
  • Documentation:
  • Help to maintain up to date documentation in supplier files, and contracts are clearly located and available.
  • Ensure dates are maintained for services renewals, contractors, etc
  • General Team Support:
  • Assist the procurement team with any relevant tasks as required
  • Book travel and accommodation for UK staff as needed on request
  • Maintain Ekco UK central corporate card, ensuring expenses & invoices are compiled upload regularly for finance.

About You:

  • Hands on administrative experience, preferably in a fast paced environment, and ideally a technical firm, although not essential
  • Proficient in Microsoft Office packages (Word, Excel & PowerPoint) and can navigate MS Teams and SharePoint effectively
  • Self-starter and well-motivated to deliver in a highly-pressurised environment
  • Organised, systematic and proactive in the day-to-day deliverables/tasks
  • Strong team player who promotes a positive and professional image
  • Ability to communicate effectively both in person and in writing internally and externally
  • Social, outgoing and easily able to build relationships
