Site Support Coordinator
As a Site Support Coordinator, you will be working with lots of people across departments on site. You will be the key support for document control and pay systems across the site. You also will be responsible for indirectly managing a budget of £100K.
You will gain the exposure to be involved in improvements within the area or streamline processes for other areas/departments.
There may a small amount of remote working flexibility when work permits.
Job Purpose
The Site Support Coordinator is responsible managing a range of business activities which enable the running of the business, including administration, procurement, information management, communications (both internal and external) and supporting the Site Director (SD) and Site Leadership Team (SLT) in the running of the site.
They work directly with the business, including those in direct roles (manufacturing, testing, fixing, shipping), those in indirect (often office-based) roles, and leaders up to and including the Site Leadership Team. They also work with some Central and offshore teams, including third parties. They are also required to work with vendors, service providers and external bodies (such as the local council).
The Site Support Coordinator is a ‘super-user’ for a number of software programmes across documentation, procurement and people management. They are responsible for training and ongoing support for site staff in the use of these systems.
This Site Support Coordinator is expected to work supporting site administration Tuesday to Thursday and the SAP centre Mondays and Fridays, with flexibility depending on business need.
In this role you will…
- Ensure site support requests (documentation, procurement, etc.) are addressed in a timely manner and to an excellent standard to support the smooth running of the business.
- Be a subject matter expert for electronic documentation management (VQD) and release coordinator. Support staff in the use of this system, providing training where required.
- Be a subject matter expert for the purchase to pay process (‘P2P’) within ERP, and associated transactions and reports. Support staff in the use of this system, providing training where required. Work with the offshore teams and ensure escalations are made in a timely manner. Responsible for performance managing P2P on site. Support staff in the use of this system, with training where required.
- Control the admin budget and have responsibility for the site P (purchase) card, ensuring all spend is within policy.
- Administer emergency response team payments annually, and support rotas for emergency response and main controllers as required.
- Provide personal administrative support for SD and SLT for areas not covered by offshore services e.g. preparation of agendas, meeting facilitation, event planning and set-up, and minute taking. Manage logistics and associated arrangements for visitors to site, site events, and for SD/SLT when travelling.
- Handle sensitive and confidential company and personnel information appropriately.
- Work with the site Engagement Lead on communications and events such as townhalls. Deputise for this role with respect to communications/engagement tasks.
- Management of documentation within SAP centre to support manufacture including release and completion of batch documentation (Batch Manufacturing Records and Non Routine Request Forms).

- SVQ Level 3: Highers / Higher National Certificate / Apprenticeship or equivalent, or demonstrable work experience
- Experience in administrative work, document control and/or a procurement role, ideally in a regulated industry.

- Strong communication skills (written and verbal) and the ability to explain clearly, and to train others.
