About our opportunity:

We are looking to recruit an experienced Ships Port Agent responsible for sea going vessels and associated requirements for calling into several ports within the UK.

An excellent opportunity in the maritime field working within an in house shipping department for a global company in sustainable materials, the core business is receiving, processing and exporting recycled products handling volumes in excess of 10 Million of tonnes per year.

What you will be doing:

The job role in general consists of working in a fast paced, frequently changing environment carrying out operational and administrative duties for managing arrivals, movements and departures of vessels into - within and out from port at various UK locations for a smooth turnaround loading or unloading cargo.

You will be responsible

  • Providing responses to requests i.e. estimates, port information and general enquiries onto setting up vessels and files once fixed.
  • Liaising with and keeping interested parties updated with vessel positions being the first direct point of contact at the central core of all communications.
  • Liaising with vessels prior to arriving then coinciding with Dock Masters, Pilots, Towage providers, surveyors and terminals ect for arranging required port services using different methods of communication, company and port systems/portals and procedures.
  • Obtaining authority for vessels port calls and cargo clearance, providing local and Government authority requirements, reporting and legal documentation to port authorities, police, customs, border control’s ect.

Day to day operational activities, in port ship boarding activities

  • Meeting with ships personnel and officers for communicating progress, discussing requirements and resolving any issues, monitoring and communicating vessel progress to required parties and cargo interests.
  • Administrative activities creating, executing and dispatch documentation i.e. bills of lading, cargo manifests, stowage plans, statement of facts.
  • Checking, processing and passing invoices for payment and completing disbursement accounts, arranging for many various and necessary husbandry requirements i.e. crew changes, doctor appointments, ships mail, crew changes, spares and repairs ect also liaising with various contractors and internal personnel.
  • Keeping records, data entry and analytics for later review or if queries arise.
About you:
  • Minimum two years experience in ships agency required, further in house training is provided and this role will be beneficial for a hardworking individual looking to take an excellent career opportunity.
  • You must maintain a confident approach and professional acumen, be an excellent communicator in person, by telephone and e-mail.
  • Be able to multitask dealing with matters quickly and accurately.
  • Have experience of vessels, cargoes, ports, rivers, lock systems, berths, tides, drafts.
  • Have knowledge of common husbandry service requirements.
  • Capable of considering different cultures, nationalities and language barriers and time zone differences.
  • The ability to work under pressure as vessels dock for limited time periods and can constantly change.
  • Must be flexibility with working hours due to the nature of the role.
  • Be proactive and have an investigative and risk based in approach in completing tasks, decision making or dealing with issues.
  • Ability to build and have good working relationships.
  • Have good administrative skills, be articulate possessing excellent attention to detail.
  • Be well organised, logical and be able to think on your feet with problem solving abilities and the ability to work on your own initiative and as part of a team with a positive can do manner and willing to assist at all times.
  • You must be computer literate with working knowledge of Outlook, Excel and Word, able to use a smart phone and apps, training will be given for in house and external computer systems.

Based at Warrington Head Office location in the main some days working from home and travel to and from ports mainly Liverpool on a regular basis and also the port of Manchester from time to time but as required or when vessels are in port.

A full UK driving licence and own vehicle is required, car allowance provided with fuel and other expenses for business travel requirements, mobile smart phone and lap top computer provided for remote/home working.

Normal working hours Mon – Fri, 0800 – 1700 hrs, overtime as and when required during evenings, weekends, bank holidays and Christmas holidays, working in a rota system.
