As the Office Services Manager, you will lead a team in creating and maintaining a pleasing and attractive workplace. You'll ensure high levels of organizational effectiveness, communication and safety for the staff and visitors at our office. Your efforts and those of your team, will contribute to an engaged and happy team at our Canadian Headquarters, in Mississauga, ON.
Job Responsibilities
Management of Reception, Switchboard, Mailroom, Print Shop and Stationery Shop
Operate and maintain the security system.
Building your Office Support team through performance management, team building, cross training, monthly meetings and 1:1 feedback sessions.
Maintain the budget and forecasts for all head office costs, process and pay all facilities invoices in our Global Field Finance system.
Act as primary point of contact for the landlord.
Management of meeting rooms, including daily inspections, set ups, special events.
Manage all vendors who provide services to head office.
Management of pantries, catering supplies and coordinating special events.
Active member of the Joint Health & Safety committee providing regularly scheduled inspections, First Aid Kit inspection, First Aid Training, etc.
Always have an eye towards continuous improvement of operational efficiency. Communicate changes in policies and procedures to all head office associates.
Qualifications
College degree or technical degree/diploma preferred. 7+ years in an office management role
Works independently and meets project deliverables on time and on budget.
Proven people management skills, including developing roles and responsibilities, performance management, coaching and development of a team of 5 or more.
Experience with Facility Contracts and Health and Safety Reporting.
Ability to communicate effectively with employees at all levels, including senior executives, both verbally and in writing.
Knowledgeable and proficient with all Microsoft Office software (Word, Excel, PowerPoint, Outlooks, Team, OneNote, etc.)
The ability to operate or learn to operate mailroom, reproduction, security and audio-visual equipment.
Able to multi-task and manage competing priorities.
Financial acumen to plan and forecast budget and track through execution.
The ability to take initiative, to be self-motivated, results-oriented, organized, detail oriented and to possess a sense of urgency.
