PROFILE

Our Office Services Clerk - Court Filing will be responsible for supporting Firm Office Services including document assembly, reception coverage, incoming/outgoing mail, deliveries and file court documents at all levels of Court, tribunal and government departments, including any online administration required. The successful candidate will have excellent attention to detail, a commitment to internal client service skill, and strong organizational skills.

This role will work from 8:30 am to 4:30 pm Monday to Friday each week.

RESPONSIBILITIES

  • Provide support to all areas within Office Services including but not limited to photocopying and document assembly, mail distribution, sanitization, and courier desk;
  • Assist with office moves and provide general maintenance duties as required;
  • Work as part of a team to ensure timely response to requests, and excellent internal and external client service;
  • Attend at various Court, tribunal or government departments (Land Titles, Provincial, Federal Court, etc.) to file, collect, and deliver/register documentation based on direction from Professionals, Legal Administrative Assistants and Law Clerks;
  • Filing of electronic documents with the courts;
  • Prepare and post accounting information as required including disbursements;
  • Online searching and registration on various governmental databases with excellent attention to detail;
  • Follow-up and distribute documentation with the appropriate individuals after filing of documents;
  • Advise professionals, students, and staff regarding the proper procedure for filing documents;
  • Serve documents if required;
  • Ensure payment of all fees associated with the various courts;
  • Other duties as assigned.

QUALIFICATIONS

  • A High School Diploma is required;
  • Administrative or Office Services experience in a professional services environment is preferred;
  • Excellent interpersonal, communication, and teamwork skills;
  • Strong attention to detail with preference given for demonstrated experience with Microsoft Office Suite;
  • Strong commitment to professionalism, and taking care of client and firm needs in a courteous manner;
  • Demonstrated ability to work well independently, and in a team environment;
  • Ability to handle a varied and demanding workload with experience prioritizing and organizing workflow for efficiency;
  • Ability to lift a maximum of 50 lbs, and assist with movement of materials throughout the Firm on an ongoing basis;
  • Familiarity with legal terminology and process, as well as online searching and registering in various government databases is preferred.
