Job description

Rosa is a central government IT system that enables collaborative working at SECRET. Providing SECRET collaboration and communication across 166 countries around the world, allowing users to create and share data securely on a desktop, laptop and mobile. This ground-breaking work is protecting our national security whilst enabling government to access solutions that exceed anything previously seen in this space.

We are looking for 2xSEOs Business Engagement Coordinators who will report to the G7 Business Engagement Manager and work alongside the other Business Engagement Coordinator (in post). Together, they will play a key role in helping to shape and deliver the engagement strategy. The role(s) will also involve engagement with Government Security Group and the continuing delivery of Government Cyber Security Strategy.

Joining the established Business Engagement Team, you will build a strong working relationship between the Rosa Service Organization and its funding Government Partners through delivery of a great service. In addition, the post holder(s) will facilitate and support Senior Leadership engagement activities ensuring governance and capture of relevant business intelligence to support delivery of increased understanding of Rosa’s Partners.

The Business Engagement Team includes Business Engagement Coordinators, Communication and Marketing Manager, Content and Training leads. The Team work together to deliver the annual Rosa Conference, Partner Forums and events, external events and other engagement activities. You will play a key role in helping us shape and deliver our engagement strategy.

This role offers a unique opportunity to work in a cross government shared service model and to support RSO Senior Leadership Team to help shape and influence the continued development of the Rosa Service.

The successful candidate will:

  • Develop excellent working relationships with Rosa Partners, including stakeholders at all levels and maturing RSO’s partner engagement capability.
  • Work with the Senior Leadership Team to facilitate and support their engagements with Rosa Partner counterparts.
  • Understand Partner business needs, draw logical conclusions, make sensible suggestions, that meet both Rosa’s strategic direction and our Partner’s needs, and advocate and negotiate with the wider Rosa Team to achieve good outcomes
  • Build and maintain effective relationships with senior colleagues and Partners to support and improve the Rosa service, with an understanding of how the role fits with others.
  • Help Partners make best use of the available Rosa service, play a key role in maximizing the overall return on the programme investment
  • Understanding the shared services ecosystem and ensuring that Rosa continues to support our partners business needs and priorities while contributing to the continuous improvement of the Rosa Service.
  • Support the Business Engagement Manager in the development of improved ways of working, process development and implementation.
  • Work with the Business Engagement Manager to manage new Partner requirements via the RSO ‘Front Door’ process

Responsibilities

  • Influence stakeholders and manage relationships effectively to build long-term strategic relationships which will facilitate and deliver business outcomes for Rosa and its Partners.
  • Identify and engage with Partners, users or stakeholders to collate Partner business needs and feedback.
  • Drive effective customer service and Rosa strategic priorities by building a working knowledge of partners longer term strategy, operating models, needs and priorities, ensuring this information is known to relevant parts of the Rosa Service Organisation
  • Facilitate and attend Partner meetings and forums to provide communications and information for all related service activities
  • Operate regular partner engagements, including senior leadership partner engagement activities, and maintain an accurate audit trail of all stakeholder engagement, ensuring all contact and activities are recorded on stakeholder database.
  • Drive adoption of Rosa by providing leadership and education on Rosa to partners on existing services and common use cases supporting them to make the best use of Rosa
  • Support the continual improvement of the Business Engagement Team processes.

On occasion, deputise for Business Engagement Manager at stakeholder engagements, governance boards or mentoring of Business Engagement Team members.

Essential

  • Experience of managing engagements with a client base, and developing and successfully implementing stakeholder engagement plan
  • Experience in educating customers about available capabilities and services
  • Knowledge about customer service, with the ability to grasp the requirements of customers and take these forward across different parts of the business
  • Ability to influence senior leaders within your own organisation and partners.

Desirable

  • An understanding of issues pertaining to product and service development
  • Familiarity with using confluence or CRM systems
  • Project management skills
