Executive Assistant to SVP International Markets, Nutrition

We're looking for an experienced Executive Assistant to support in all organisation, communication and administrative matters on a high level.
- Personal assistant support in all organisation, communication and administra-tive matters at a senior level
- Diary management including the booking and management of domestic & in-ternational travel via external portal system including visa applications where appropriate.
- Responsible for arranging team meetings including managing all pre-reading, (sometimes attending & taking minutes in meetings), following up on out-standing actions.
- Manage expense report submission via the Concur Portal, monthly budget tracking via internal systems.
- Invoice processing and establishing suppliers as required via Ariba Portal for the team. Raising PO’s as required
- Coordinate general administrative and organisational matters, e.g. organising files; set up new starters; team holiday tracker; updating organisation charts.
- Preparation of presentations using MS Excel and Power Point, which will be-come part of both internal and external communications for the company.
- Ensuring Director/s have appropriate documentation for meetings.
- Provide telephone and administrative support.
- Creating SharePoints.
- Back up / support for other PA’s in the wider team.
You’ll succeed because…
…You have extensive experience as a Executive Assistant, preferably at Director level and in a large fast paced company. You have a self-starter approach, highly self-motivated and ready to take initiative and ownership. You've got expert level skills using Microsoft Office 365 and the ability and confidence to expertly answer both internal and external calls, ability to judge on when manager’s approval is required. You have proven ability to navigate smoothly within a complex global matrix organisation and the ability to effectively and logically manage confidential and sensitive information properly. You've got the ability to multi-task as no day is the same as well as flexibility regarding working hours and high change agility. You're able to travel occasionally to support off site planned events and have proven ability to work under pressure without compromising on deliverables.
