As the Senior Executive Assistant, you provide efficient and comprehensive administrative support to the President, Global Supply Chain, member of the GLT, being their key interface both internally and externally.

Key Responsibilities

  • Extensive and complex diary management whilst ensuring the President’s time is effectively managed

  • Proactively coordinate President’s travel schedule ensuring best use of the time when visiting countries/sites. Process necessary visa applications and ensure travel vaccination guidelines are met

  • Produce all types of documentation including preparation of materials in advance of key meetings

  • Organise and plan leadership meetings and conferences. Organise all logistics (meeting rooms, technology, visitors, catering etc), whilst adhering to the Company policies, liaising with internal/external parties

  • Proactively deal with issues for the President and in the President’s absence, using initiative and knowledge to bring resolution

  • Process expenses, purchase orders and invoicing within the required timeline

  • Independently monitor internal and external correspondence and requests, ensuring appropriate reply/timely delegation and tracking of actions/awareness of when to raise information to the President

  • Work with GSC Comms team to set up Let’s Talk sessions, broadcasts, filming

  • Liaise with the office of the CEO, build strong relationships with GLT assistants

  • Coordination of timely on/off-boarding of GSC LT members, taking on line-manager responsibility if needed, acting as mentor to provide support with systems and processes

  • Maintaining online working area with key documents and files to create an accessible data repository for the President and his entire Leadership team

  • Align with all policies, procedures, legal and regulatory requirements

Qualifications/Skills

  • Senior secretarial experience within a large complex organisation

  • Successful experience supporting senior leaders (President level). Understanding of requirements related to dealing with a Board and CEO office

  • Excellent diary management skills with constantly evolving arrangements and schedules requiring diplomacy

  • Ability to multi-task without compromising quality of work with exceptional attention to detail

  • Excellent MS office/tech skills

  • Ability to cope with change whilst maintaining a calm and professional manner. Strong resilience under pressure

  • Excellent interpersonal skills and ability to build effective relationships with internal and external stakeholders, at different levels and from different cultures

  • High level of confidentiality, dedication, discretion, and tact

  • Proficient in company systems (Concur, CERPS, Fiori, Workday, travel booking tool etc)

  • Independent person, ability to think on their feet and work on their own as well as being a strong team player with good listening skills
