PURPOSE OF THE ROLE:
This full-time role within the procurement team has become available due to an internal promotion, and is a pivotal function supporting the processing and fulfilment of customer orders by placing purchasing orders, using best practices ensuring the highest level of service is being provided to our customers internally and externally
Managing the complete end-to-end process from placing orders right through to delivery of orders into our warehouse, allocating stock to back orders, sometimes assisting with the more complicated deliveries to our customers (International shipments, larger UK pallet shipments, etc.), and ensuring direct shipments arrive as expected and are invoiced to the customer on-time
Cisilion adopt a hybrid working approach, offering flexibility for our employees and business. We ask that you work from our Leatherhead office 2-3 days per week, with the remaining days from home. You will also need to travel into our central London (Bishopsgate) sales office once or twice a month to build a strong face-to-face relationship with our highly motivated and driven sales and sales-support teams
CANDIDATE PROFILE:
- Experience of working in a fast-paced procurement or commercial environment essential
- Relevant industry experience preferable, knowledge of IT products &/or services would be an advantage
- Extremely good attention to detail with accuracy skills to ensure information is correct
- Strong interpersonal skills, talking to internal & external stakeholders, ensuring effective communication
- Being focused on deliverables in a busy, fast paced, changing environment
- Self-motivated, team player with a can-do proactive positive approach and a quick learner
- Well organised with a key eye for detail
KEY TASKS:
- Placing orders on suppliers within 24hrs of sales order entry
- Chasing suppliers for lead-times & delivery updates
- Ensuring system data is up to date and accurate at all times
- Working closely with project management team to ensure back orders are invoiced in a timely manner
- Use Cisco’s CCW platform to place purchase orders onto Cisco and manage subscriptions
- Proactively managing all purchase orders using the tools available - 3rd party vendor portals, etc.
- Raising & managing cases on Cisco to successful completion & highlighting to the business to avoid reoccurrence
- Focused approach to customer back orders, working productively with sales and sales support
- Manage (handhold) international delivery of goods and maintain effective communication with customers and the sales / sales-support teams on when product will be delivered.
- Checking Microsoft usage and billing data for accuracy & communicating relevant details to assist finance with monthly invoicing
- Assisting with the management of back orders to invoice as much as possible
- Working with the finance team to ensure all invoice queries are addressed in a timely fashion
- Managing product trade-ins as per vendor requirements
- Manage the RMA process for the return of goods to suppliers
- Manage non-deliveries or missing deliveries in part or full
- Ensuring delivery to customers is performed in the most cost-effective manner
- Meet the SLA targets being developed within the Commercial team to improve performance
- Complete end to end management of direct shipments
KEY SKILLS:
- A solid purchasing background with good negotiation skills
- Ability to form close working relationships
- Excellent communication and analytical skills with a good attention to detail
- Determination to see all complex tasks to completion
- Understand the sense of urgency where required with organisational and prioritisation skills
- Flexible working approach to support our business requirements globally
- Experience of Cisco’s CCW platform (GPNs, DIDs, GAAs, etc.) would be an advantage
- Experience of Microsoft CSP/Azure ordering and billing would be an advantage
- Good CRM system skills, knowledge of NetSuite would be an advantage
- Advanced user of Microsoft Excel
