The Role
This role will provide rich variety - you will need to demonstrate the ability to handle multiple and varied workstreams. You must be a self-starter, and comfortable taking responsibility and being accountable for the delivery of your workstreams. You will not be alone, far from it, but we need people who are great at solving problems, critically evaluating situations, and then making decisions and arriving at clear recommendations whether it be to internal or external stakeholders.
This successful candidate will work within our Project Management department, providing Admin support to our team of more than 30 Project Managers as well as acting as Personal Assistant to our Chief Project Officer, Head of Development and Head of Delivery.
Team administration, to include:
- Supporting the Chief Project Officer and Heads of Service in ensuring the Project Management team is effectively organised
- Administering key internal processes, including:
- Managing the project management filing structure
- Onboarding new members of staff
- Offboarding leavers
- Performance Reviews
- Assisting with timesheet enquiries
- Assisting with financial management, including invoicing and chasing debtors
- Monitoring key internal IT systems and reporting on whether information is kept up to date
- Supporting Senior Managers in the production of key internal and external documents, including:
- Proposals
- Capability Statements
- Case Studies
- Reports
- Organising team meetings, events and other team activities
- Assisting the wider back-of-house team in organising full company events, including Away Days and monthly ‘Town Hall’ style meetings
- Providing ad hoc administrative support to project managers, as directed by the leadership team, including:
- Support preparation of key project documents
- Organising and minuting meetings
- Support development of effective filing structures
- Supporting the implementation of learning and development plan across the team. Co-ordinating training session and collating training information as required.
- Assisting the collation of team Key Performance Indicators
Acting as Personal Assistant to the Chief Project Officer and Heads of Service, including:
- Providing effective diary management so as to avoid ‘clashes’ and make sure time is managed as efficiently as possible
- Setting up and attending team management meetings, including
- Issuing agendas
- Taking notes and actions
- Supporting the management team in taking forward actions as required
- Assisting in the production of management reports and Board Reports, including:
- Gathering data
- Assisting the PA to the CEO in producing full Board Reports
- Assisting the wider back-of-house team in the management of Board Meetings and Senior Management Meetings as required
Reporting
The post holder will report to the Chief Project Officer.
Requirements for the Role
Essential
- Qualified in an appropriate field
- A high degree of experience in producing professional Microsoft 365 documents, including Word, Powerpoint and Excel
- Experience at supporting Board-Level Directors in a similar environment
- Minimum 2-5 years experience in a similar environment
- Excellent written and spoken communication skills
- Experience of working in a fast-paced environment
Desirable
- Experience of working within a consultancy, particularly with a focus on project management or renewable energy
- Ability to speak a European Language
- Adaptable and flexible to suit the needs of the role as the business expands and evolves

Salary: £35,000.00-£45,000.00 per year
