Security Site Manager

The Site Manager for this contract will be responsible for managing a corporate building for a major financial company. Reporting directly into the Account Manager for the portfolio of buildings across the South East. The successful candidate will have proven managerial skills of managing this type of corporate environment, understand the key risks to the company and local environment and be able to manage multi-stakeholders. This is a great opportunity for someone to manage their own team and be mentored to the next level of account manager
Job objectives and responsibilities
- Manage all incidents in the building in line with processes and procedures
- Ensure all staff are dressed correctly and support the ‘customer journey' through the building, delivering great customer service
- Have an excellent knowledge of the site security systems and provide audits as and when required
- Ensure all officers are site trained
- Implement changes to processes and procedures as and when required
- Manage Supervisors performance
- Meet the required standards of the SLA
- Manage the site budget and finances in accordance with the contract
- Ensure that the site recruits and retains the security staff with the right skills
- Build and maintain excellent working relationships with all stakeholders and clients
Main duties
- Ensure all staff are uniformed and have the required equipment
- Ordering of equipment where required
- Ordering of uniform where required
- Instigate review of uniform and equipment to ensure consistent standard and requirements are identified
- Manage uniform spend and budget appropriately
- Ensure site daily duties are completed and site requirements are met
- Post visits
- Post & Officer assessments
- Review all shift handover report
- Review all incident reports and identify any lessons to be learned
- Responsible for all site related training
- Prepare and manage the site training matrix
- Conduct training sessions with all officers – quarterly
- New officers and support officers to be trained to the site standard
- Ensure all staff receive first aid and SIA top up training prior to certification running out
- Regular Talk Box Talks
- Implementing changes to processes and procedures where required and upon review –
- Communicate changes to the supervisors
- Ensure the change is implemented correctly and timely
- Audit to check processes have changed and are working
- Ensure that all site documentation is in place and reviewed as required – Assignment Instructions, Standard Operating Procedures (SOPs) and Risk Assessment.
- Manage Supervisors performance in ensuring:
- Their duties are carried out correctly
- Have regular briefings with the Supervisors to discuss site matters and receive updates
- Conduct regular 1-2-1s with all supervisor and prepare development plans to support succession planning
- Liaise with the Account Manager regarding overall running of the site through:
- Regular catch-up meetings
- Communication via phone, email or Teams
- Providing reports as and when required
- Be organised and display good time management stills and have a proactive approach:
- Use your Calendar to plan site activities in advance
- Plan Monthly meetings for the year ahead
- Carry out recruitment of the assignment where required
- Use the Mitie eArcu recruitment platform
- Submit a Job Description
- Review applications to select the correct candidates
- Conduct regular probation reviews during probationary period
- Incident Management
- Ensure all officers are conversant with incident management procedures
- Ensure all incidents are managed in line with the procedures
- All incidents are reviewed through feedback and reports
- Any amendments or reminders are communicated using the most relevant communication methods
- Ensure all incident reports are created and submitted in line with the SLA requirements and to high standard
- Compile a Lessons to be Learned document if there are any recommendations for improvements
- Take responsibility for the scheduling of the assignment:
- Ensuring that staff shift patterns are in place
- Ensure the assignment is scheduled with the relevant trained staff in their respective locations taking bank holidays into consideration
- Ensure holiday requests are reviewed and the outcome submitted in a timely manner based on relevant cover being available.
- Ensure that all staff have regular 1 -2 – 1s with a Supervisor or Manager at frequent intervals
- Arrange for all staff to be trained on First Aid, CCTV and SIA top up training as required
- Arrange and conduct where applicable investigations and disciplinary meetings in relation to incidents / performance related matters
- Produce and provide monthly reports in line with SLA
- Reports are submitted to a high standard
- Submitted in a timely manner to the client
- Reports are presented at an arranged meeting with the client
- Minutes are recorded and distributed accordingly
- Undertake regular audit of the Security Systems and other compliance areas in line with SLA
- Attend and lead where required meeting with departmental stakeholders or clients
- Ensure all officers performance is managed inclusive of
- Appraisals
- Welfare meetings
- Feedback on performance
- Planning mitigation measures for planned events / incidents / protests
Personal Specification
- Experience and knowledge of CCure or other similar Access Control systems and be able to provide audit information
- Effective communication skills – written and verbal
- Organisational skills, including prioritising and managing workloads
