Access Control Assistant
The Role
You will be working as a member of our client's Global Business Resilience & International Security Team. It is part of their Facilities, Real Estate & Travel (FREST) Division. This team develops and manages programs and services that promote a safe, secure, and well-maintained office space while supporting the business needs of their customers.
The Assistant is based in our client's Chiswick, London office and reports to the Security Access Administrator. This post is responsible for assisting the administrator’s role with the card access control systems and issuance of access cards across EMEA, International, and APAC. This position will also develop strong relationships with Executives, P&C, and Office Managers in our International offices.
Responsibilities include:
- Assist with the administration of the Access Control and CCTV systems and assist with the development of notifications.
- Ensure all vetting applications are processed efficiently and timely using the Warner Bros Discovery internal systems. (Fieldglass, new hire notifications)
- Produce security ID passes whenever requested by the Administrator and effectively assist in managing the access levels.
- Maintain, monitor, and analyse patterns of behavior (denied access, etc) using the Access Control database.
- Provide accurate and timely reports from the Access Control System as and when required.
- Assist as needed with security for executive visitors and card management thereof.
- Stand-in as the Security Access Administrator if needed.
- Monday to Friday: 8am -6pm, 10 hours a day, 50 hours a week
Specific responsibilities:
- Manage the programming of locker fobs and additional locker requests/queries.
- Manage the everyday sign-in process of contractors, new joiners, and company employees and ensure access is validated using the Warner Bros Discovery internal systems before issuing a temporary badge.
- Ensure that all temporary cards are being returned, and follow up on any not returned cards by sending email notifications.
- Ensure that Flexible worker’s photo badges due to expire are being extended using the Warner Bros Discovery internal systems (Fieldglass, Portal)
- Investigate all access denied events.
- Ensure that any access requests/ notifications of freelancers coming on-site received via DNE email are being dealt with.
- Manage the key distribution
- Manage the lost property records
