An opportunity has arisen for a Personal Assistant to provide full secretarial and administrative support to Admitted Care B Directorate within the Medicine & Emergency Care Group.
Good interpersonal and communication skills are essential as is a familiarity and expertise in using Microsoft IT packages including outlook.
You must have experience and in diary management, with excellent IT skills and a professional telephone manner. You will need to be able to demonstrate exceptional skills in customer care and, in particular, ensure all matters relating to your work are dealt with in a sensitive and timely manner. You will be able to adapt and prioritise your workload and have the ability to work on your own initiative.
If not already attained, the successful candidate could gain their Business Admin level 3 apprentice award during their employment.
The post holder will be highly organised, reliable and efficient and will have a flexible approach to their role, and able to work on their own initiative.
Duties will include proactive forward planning , diary management and support relevant meetings. You will also be responsible for raising orders and dealing with invoices.
As an experienced personal assistant you should possess excellent organisational skills and be used to working with senior colleagues in a complex, busy environment. In addition, you will be required to arrange and attend meetings including agreeing agendas, collation and distribution of papers, minute taking, and maintaining up to date action logs.
This is an exciting role, the successful candidate will need to demonstrate great organisational skills, attention to detail and the ability to work in a fast-moving environment whilst also working as part of a team.
To provide full and comprehensive PA/secretarial and administrative service to the directorate
- Dealing with daily demands of the directorate
- Raising orders and dealing with invoices
- Drafting and typing correspondence, reports, e-mails, minutes and other documentation as required for the relevant management team
- Develop a sound knowledge of the structure of the Trust’s Corporate and Clinical Groups in order to distribute information correctly and communicate effectively.
