Job description
The ideal candidate would have some experience working in a school office and/or in an Alternative Provision setting, possess good administrative and IT skills, as well as the ability to communicate effectively and professionally both verbally and in writing.
Purpose:
The purpose of the administrator is to ensure that there is a smooth running of the Alternative Provision Programme and to provide full administrative support to the admin team.
Main roles & responsibilities:
- Ensure that the attendance registers are completed on time and parents are informed of morning and afternoon absences.
- Offer helpful, friendly, approachable and professional service at all times and take appropriate action on own initiative, resolving minor matters, referring more serious matters to the appropriate member of staff
- Meet and greet all visitors to the school, relating to the Alternative Provision Programme.
- Answer and log all incoming phone calls, deal with telephone enquiries and keep the Headteacher and any other relevant staff member informed of updates, and changes, regarding any AP pupil/ referring agency.
- Sending out monthly progress reports by the end of the first week of each month.
- General admin duties such as writing letters to parents or emails to staff etc.
- Maintain general e-mail accounts in order to respond to any particular queries.
- Directing certain enquiries to relevant members of staff when required.
- Assist with record-keeping for stationary or equipment that the school may use.
- Maintaining a clean, tidy working environment.
- Maintain accurate records of pupil starters, leavers and changes in circumstances.
- Forward relevant paperwork to Finance for invoicing.
- Prepare lunch money records and forward them to Finance for processing.
- Ensure lunch money is distributed to the Schools as per procedures.
- Assist with distribution of photocopied resources for teachers/administrative staff.
- Assist with event preparation ie. Parents Evening etc.
- Ensure that all AP procedures are followed for the above tasks.
- Ensure all registers are kept up-to-date and are accurate.
- All documents are filed on a regular basis in pupil files.
- Book appointments for new starters, review meetings and placement closure meetings with appropriate staff, referrer and pupil/parent/carer.
- Keeping the Headteacher updated with information regarding pupils, staff, and referrers at all times.
- Maintaining the rewards and sanctions records as required by the Headteacher.
- Liaising with the Pastoral Support Officer with regards to absent pupils and keeping all concerned updated.
- Follow the Incident reporting/logging procedures for all incidents.
- Undertake any duties commensurate with the level of this position
