Job description
To assist the Sales Support Supervisor with providing a wide range of high quality administrative services to support the ITI Sales team. Within this role you will be expected to carry out the day-to-day administrative activities whilst studying towards a Level 3 Business Administration Apprenticeship.

Duties & Responsibilities
- Co-ordinate the Company’s timely and professional response to varying sales related invitations, to include but not be limited to Pre-Qualifications, Request for Information, Invitation to Tender, Request for Quotes etc.
- Organise and liaise with the necessary internal resources to provide timely and high quality content in response to proposal enquiries.
- Develop and maintain a library of related responses for re-use across bids based on best practice.
- To support the wider sales team, when required, with additional information during pre-tender and post-tender phases.
- Review content provided by the bid team to ensure consistency and quality of responses.
- Format sales documentation to the required company standard.
- Ensure all tender documentation is archived for future reference and dispute management.
- Assist the Sales Support Supervisor with producing monthly reports for the Senior Management Team.
- Daily updates to the CRM System (Zoho).
- Review Purchase Orders for commercial accuracy then process and acknowledge.
- Maintain and update company subscriptions and portals (eg. Achilles, Ariba, SEQual).
- Daily monitoring of the sales inboxes, including distributing and responding as required.
- Maintain an archive of support contracts and agreed T&Cs.
- Track support renewals, ensuring any are flagged to the Proposals Manager 3 months prior to expiry date.
- Assist with the creation and maintenance of company CVs.
- Organise and maintain structure to the sales servers.
- Ensure all proposals comply with the Company’s quality standards and that these standards are embedded in tenders and proposals, additionally ensuring complete confidentiality of all tender documentation during the progress of the tender.
- Ensure that internal sales processes are maintained throughout the bidding process.
- Where required and under the direction of line management, to work with and support other departments within ITI (Marketing, Finance etc
- Where necessary, coordinate and maintain sales related corporate hospitality commitments.
Summary of Requirements

- GCSE Grades 9 to 4 in Maths and English
- Excellent verbal and written communication skills
