Position Description
As a Sales Support coordinator, you will be responsible for providing administrative support to the South & East Sales teams. Your main tasks will include inventory planning, ordering new vehicles, raising purchase orders, invoicing, and vehicle registration. You will collaborate closely with the Transport Solutions Executives and various stakeholders to deliver exceptional customer service.

As a Sales Support Coordinator at Volvo Truck & Bus Centre South & East, you will collaborate closely with various stakeholders to ensure smooth operations and provide exceptional customer service. You will work within a team-oriented environment, interacting with the following key stakeholders;
Transport Solutions Executives (TSEs): You will primarily support the TSEs, working together to place and progress orders, communicate with customers, and ensure the timely delivery of vehicles. Your coordination and communication skills will be vital in maintaining a seamless workflow.
Finance Institutions and Finance Brokers: You will liaise with finance institutions and finance brokers to process payments and ensure accurate invoicing. Building strong relationships with these partners will be essential to guarantee smooth financial transactions.
Body Builders: Collaboration with body builders will be necessary to schedule required work on vehicles and ensure it is completed within the agreed timeline. Effective communication and coordination will contribute to minimising the time a vehicle is in stock and the timely delivery of vehicles to customers.
Logistics and Depots: Working closely with logistics and depots, you will coordinate transportation and delivery of vehicles. Your attention to detail and ability to manage timelines will play a key role in meeting customer expectations.
Key Responsibilities:
- Place and monitor new vehicle orders using Volvo Sales Support, Order Manager, and Dealer Point systems.
- Set up customers in relevant systems for accurate invoicing.
- Plan orders effectively at the factory and with suppliers.
- Amend orders as per policy and procedure guidelines.
- Manage purchase orders
- Coordinate with external and local suppliers to schedule work and ensure timely completion.
- Communicate progress, manage risks, and provide updates to Transport Solutions Executives.
- Ensure compliance with homologation and Whole Vehicle Type Approval legislation.
- Register and tax vehicles correctly, and liaise with DVLA/DVSA.
- Issue invoices and follow up on payments.
- Excellent organisational and administrative skills.
- Ability to prioritise and plan effectively, adapting to varying workloads.
- Strong communication skills to engage with stakeholders at all levels.
- Experience in an accounting/commercial environment
- Proficient in using databases and MS Office.
- Self-motivated and capable of working independently.
