Sales Administrator
Reports to: Business Development Team Leader
We are a rapidly growing company in the construction market and are currently seeking a proactive and well-organized individual to join our team as a Sales Administrator. In this role, you will provide essential support and backup to our external field-based sales representatives. Your primary responsibility will be to work closely with the external sales team and internal account managers to ensure excellent service and follow-up with clients. Effective communication with clients through email, phone, and video conferencing platforms such as Zoom will be crucial to succeeding in this position. We are looking for a self-motivated candidate with a strong track record in client service and exceptional team communication skills.
Responsibilities:
- CRM Management: Support the external sales representatives by maintaining and updating contacts, accounts, and projects in the CRM system. Log the representatives' visits and create relevant follow-up tasks based on their interactions. Assist the external sales team in staying up to date with their follow-up tasks.
- Catalogue Requests: Handle and promptly follow up on all catalogue requests received from clients.
- Account Forms: Ensure that new account forms are promptly followed up and returned.
- Diary Management: Take responsibility for managing the external sales representatives' diaries. Book relevant appointments as requested by the representatives and add new contacts as needed.
- Follow-Up Emails: Send personal follow-up emails to clients after the external sales representatives have visited them.
- Pricelist Management: Ensure that pricelists from the commercial department are promptly sent off and followed up on.
- Report Generation: Assist the external sales representatives in running reports to support their daily tasks.
- Collaboration with Internal Account Managers: Work closely with the relevant internal account managers to ensure timely follow-up on quotes and increase the win/loss ratio.
- Business Development Calls: Make proactive business development calls to support the area growth of your assigned external sales representative.
- Customer Service Support: Collaborate with the customer service team to stay updated on relevant service issues and ensure prompt resolution. Keep the external sales representatives informed of any customer service matters that require their attention.
- Online Account Setup: Collaborate with the web support team to ensure prompt online account setup for customers, taking care of all necessary details.
Qualifications:
- Proven experience in a similar role with a strong focus on client service, preferably in a fast-paced sales environment.
- Excellent organizational and communication skills, both written and verbal.
- Proficiency in using CRM systems and other relevant software applications.
- Strong attention to detail and ability to multitask effectively.
- Self-motivated with the ability to work independently and as part of a team.
- Demonstrated ability to build and maintain positive relationships with clients and internal stakeholders.
Work hours:
40 hours per week Monday to Friday 8am – 5pm.
