We are looking for a multi-skilled individual to join us as a Sales & Events Coordinator.
Duties and Responsibilities
Sales
- Handle incoming event enquiries and nurture them to conversion. Taking responsibility for your pipeline & attending to it in a timely manner
- Provide quotes in-line with the pricing strategy seeking advice from your line manager for situations outside of the guidelines - Communicate clearly key and relevant terms and conditions to prevent any client complaints of miscommunication
- Dispatch proposals and follow ups in a timely manner
- Build relationships with clients to understand their requirements on the phone or in person as required. Match clients’ brief & budget
- build relationships and partner with venues in the area to offer our services to their clients.
- Encourage clients for show rounds and ensure you or a team member are available to host show rounds at times convenient for clients.
- Advise and guide on menu planning options and attend tastings - Ensure menu options are in line with published menu, and any bespoke variations are checked with the kitchen
- For each confirmed booking, ensure there is a signed contract and a paid deposit
- Upsell items as appropriate
- Ongoing liaison with clients to ensure all needs are met
- Produce and maintain an event file including all relevant information relating to each event
- Collect deposits and payments from clients. Manage your debtor book in a pro-active and accurate manner
- Ask for support when appropriate before mistakes are made
- Cross sell and promote other venues where possible
Events
- Liaise with the Kitchen to ensure food choices and amendments including dietaries have been clearly communicated to the kitchen in a timely manner.
- Ensure the kitchen has the right version of the day planner prior to the event
- Liaise with the Ops team to ensure events are planned effectively, with all clients’ specifications correctly recorded in the day planner
- Attend and manage events, directing the team to maintain the highest standard - Fully brief all staff on H&S, the event plan, points of note, special arrangement, roles and responsibilities; Take charge of issues arising, managing or delegating to ensure problems are resolved
- Ensure events run to time and budget. Keeping all amendments up to date
- Provide feedback from events to the team and wider company
- Ensure all planning materials are kept in an orderly manner on the shared drive for seamless hand over in case you cannot attend an event
Process / Marketing
- Develop efficient and scalable processes that can be replicated
- Undertake regular competitor analysis
- Ensure all social media platforms are up to date and sending the right message
- As instructed update all venue websites are up to date with photos, testimonials, correct specifications
- As instructed update/create blogs and post on all relevant platforms
- Ensure all online platforms have accurate and attractive messaging
- Diligently carry out weekly initiatives in an efficient and thorough manner
- Maintain good communication with relevant stakeholders

Salary: £24,000.00-£28,000.00 per year
