We are currently seeking a highly organised and efficient Sales Coordinator, Groups to join our Commercial team, working three days each week.
We’re a mighty and adaptable team and we’ve seen our business change significantly over the past year. Our focus has now shifted from groups to individual leisure guests. This role is key to adding strength to our current Leisure Sales team and ensuring that we maximise on all opportunities to drive and achieve substantial growth for our leisure business to the hotel.
The on target earning potential for this role is £13.38 / hour - comprising a base hourly rate of £11.65, plus a qualified estimate of £1.73 per hour in gratuities and service charge.* As a member of the Gleneagles team, you will also enjoy a fantastic range of perks, benefits and rewards.

Here's a bit more detail on what we see you doing in this role:
- You’ll be the key support in ensuring your Directors and Sales team can work in the most efficient way whilst at the estate and also when travelling, making sure travel plans are booked, emails are reviewed, answered and filed accurately and professionally
- Supporting Reactive Group Sales with preparing proposals, contracts and entering bookings, and any ‘Lost’ into Opera; you’ll also audit the Group bookings to ensure accurate entry
- Replying to our client enquiries where there is no availability, asking if they are flexible and working creatively to fulfil their requirements
- Managing telephone calls to the Events direct line, distributing these to relevant team members, professionally taking messages and securing essential information
- Processing our Group Sales invoicing through the appropriate systems
- Working closely with the Group RSMs and the Director of Group Sales assist in planning FAM Trips, including building BEOs, site inspections and Gleneagles Experiences and organising VIP cards amenities for VIP arrivals
- Organising, coordinating and communicating site inspections on behalf of the sales team, including; booking time for execs to meet and greet, organising transfers, booking hotel rooms, organising amenities, building BEO, booking leisure, booking dining, and managing internal communication
- Supporting our RSMs on tradeshows, networking events and FAM trip follow up; entering accounts and contacts following sales missions; managing their expenses and creating reports required to enable targeting opportunities
- Assisting in ensuring that our sales tracker is updated monthly to reflect the tradeshows attended, sales trips carried out and expenses incurred
- Working closely with our Director of Group Sales Events and our Revenue team to create the monthly group dashboard
- Interacting with our guests, always warm, professional, helpful and doing everything you can to exceed their expectations; playing your part in making their stay with us luxurious in every way
The kind of person we're looking for:
- You have at least two 2 years in an administration and support role, with a fantastic track record
- Self-motivated, you’re a proactive team player with great ability to plan ahead effectively
- Organised, methodical and creative, you’re able to prioritise your workload efficiently, and always meet your deadlines
- Your IT skills are strong, with an excellent working knowledge of Opera, Sun System and Microsoft Word, Excel, Outlook and PowerPoint
- You build strong working relationships, both internally and externally, you have excellent time management skills and you’re able to adapt and respond to last minute demands from our business
- Highly motivated and possessing an immense sense of pride in your work; you're passionate about delivering the high standards for our guests in line with the Gleneagles brand
- You have a positive “can do” attitude to solving problems in a professional and courteous manner
- A strong team player with great communication skills and an enthusiastic approach; you're well organised and punctual with an eagle eye for detail
