The Role
The Sales Coordinator is responsible for the maintenance and support of the wholesaling and over-the-counter Private Market Team’s trading processes. They will assist the sales and private market teams to maintain the sales funnel and trades databases including maintenance of Salesforce and Airtable platforms. The incumbent will liaise with individuals in the Investment Operations team to facilitate and triage nuances in sales activity customer requirements, solve for sales frictions with back-office systems and platforms, and work directly with Investor Relations to deliver positive customer experiences.
The incumbent will interact with external clients for OTC (over-the-counter) trading when onboarding or supporting inquiries, as well as to facilitate sharing of market dynamics from the InvestX repository or Caplight. The role may support new Broker Dealers with education on trading services and process and provide access and support for same following the execution of a selling agreement.
Leveraging Salesforce, and in conjunction with the team leaders, the role will assist with Marketing to Institutional Firms, Broker/Dealers, RIAs, Advisors, Family Offices and Direct Investors, and investors in InvestX offerings (incl. employees).
You are organized, strong interpersonal communicator involving face-to-face exchange of information, ideas, thoughts between two or more people. Includes both verbal and nonverbal communication. Identifying and developing opportunities to help increase productivity, build relationships, and create a positive work environment.
Responsibilities:
- Manage/ maintain Salesforce data and report generation to ensure accurate and timely reporting
- Manage/ maintain Airtable data repository and configuration of the internal GEM order book systems
- Respond to inquiries and requests through dedicated and resourced dial in numbers, emails, names, maintaining client contact information, interests, and holdings
- Maintain trade information on the platform and coordinates with Sales and Marketing to push Inventory/Offerings out through campaigns originating in Salesforce
- Understand relationships with key contacts and support Sales/Privates Markets leaders as requested
- Organize internal and external meetings, appointments, and related activities
- Assist with scheduling and maintaining relationship-based calls, conferences, email or social campaigns, webinars, podcasts, and interviews
- Prepare presentations for meetings, sales proposals and contracts as directed, working within parameters established by Marketing and Compliance
- Organize selling, transaction, and platform agreements with InvestX legal counsel as necessary
- Setup profiles of our investments on our technology platform, GEM, and maintain accurate information on pricing, bids, offers, etc.
- Help execute marketing campaign activities using and Salesforce, Pardot and communications platforms
Qualifications
- Ideal to have some experience in a similar role, if not then demonstrate an excellent work ethic through previous work
- Understanding of Financial “Markets” and trading acumen
- Order Management System proficiencies
- Exceptional organizational and time management skills with the ability to multi-task
- Highly proficient in Salesforce, Pardot, Airtable, databases, or similar/equivalent
- Proven flexibility when changing work assignments
- Ability to work effectively under daily deadline pressures
- Above average attention to detail
- Excellent people skills with demonstrated ability to communicate with clients and staff tactfully, politely, and diplomatically in person, email and by phone
- Good written communications with accurate proof-reading skills
- Proactive problem solver, including cross-functionally using influence
- Highly proficient with MS Office (PowerPoint, Outlook, Word, Excel)
- Experience in a finance or tech environment is an asset
