Forbidden Planet is looking for a Books Merchandise Admin Assistant to join our busy retail team in our Southwark HQ.
Forbidden Planet, the UK's leading Cult Entertainment retailer, is looking for a Books Merchandise Admin Assistant . You will be responsible for supporting the buyers with detailed inventory administration. This is a computer systems based role where you will also provide administration and general support to our stores. The role is fast paced, office based retail role working to tight deadlines in a busy, friendly team.
The ideal candidate will be be familiar with Forbidden Planet and love what we sell, have excellent attention to detail, strong organisational skills and enjoy working with lots of data, as well as having strong numerical and PC skills (Excel and Word). Ideally you’ll have worked with EPOS systems, databases and Excel but training will be given.

Responsibilities/Duties:
Customer Care
- Follow all aspects of the company STARS customer service programme.
- Organise/attend out of hours events, both in store and at external venues as required.
- Deal with customer complaints either at shop level or pass to management/TL and/or head office.
Till Operation
- Till sales – ensuring accurate data entry, noting and reporting epos errors including price errors, discounts and promotions and taking necessary action. May involve long periods of standing at till point.
- Payment processing – processing sales to company standards, including seeking authority for any price changes including discounts.
- Change – making sure the tills are fully stocked with change, getting authorized staff to replenish change in good time.
- Refunds and Exchanges – Communicating company policy, getting authorization for all refunds/exchanges from management.
- Security – Correct handling of all monies, to reduce risk of lost money to the company and avoid personal risk.
- Follow store PCI security compliance measures as instructed.
Administration
- Ensuring that allocated areas are maintained to a high standard of housekeeping and display including selling areas behind tills and the till you are working on that day.
- Processing returns and faulty items to their relevant areas.
- Respond to all requests from Store Manager by agreed deadlines.
- Promptly bringing to the attention of Store Manager all necessary work needed for the upkeep and appearance of the department.
- Reporting to Store Manager any problems that arise with the EPOS tills.
- Correctly using Epos DB to process customer order requests, IBTs, not-on-system requests and any other relevant modules.
Relationships
- Maintain effective communication at all times, ensuring that all information is shared with relevant staff, clients and customers.
- Develop and maintain professional working relationships with all personnel.
- Provide regular feedback to your line manager ensuring they are advised of all developments and problems in your areas of responsibility.
- Act at all times in the best interest of the business to further good relations.
Deliveries & Stock Management
- Carrying in deliveries
- Receiving and unpacking deliveries
- Goods in and stock management
- Ordering/reordering
- Stacking shelves
- Attending stock takes as necessary throughout the year.
- Returns
- Removing/rebuilding shelving to promote new or moved stock (including carrying shelving).
- Rigorous administration of the comic and GN department as directed to include ordering, reordering and the “Select Service” order system
General
- Open and close the store as required to support Manager/TL, especially but not exclusively during periods of Manager TL holiday/absence.
- Assisting other departments with stock processing or replenishing as requested.
- Ensure all shop areas are clean, tidy and look attractive to customers at all times.
- Ensure stock is displayed to company standards in all cases- including cabinet displays.
- Stack shelves with stock.
- Take charge of stock deliveries (including carrying boxes to back office machine to book on to EPOS).
- Carrying overstocks to stockroom.
- Ensure all price promotions are correct and clearly advertised.
- Maintain attractive window and in-store displays, changing/updating them on a regular basis according to company planners and display standards as required.
- Implement/monitor EPOS system and other management information systems, including EPOS database, and Select Service system as required.
- Ensure that health and safety standards are maintained at all times, including any company COVID secure policies. Advise the Health and Safety Representatives of potential risk areas.

Salary: £6.99-£9.56 per hour
