Overview:
This role will support the VP of International Formats and a busy format sales and international production team in London as they work with broadcasters and producers across the world, and Sony partners and in territory sales teams globally. The candidate must be familiar with working in a fast-paced international media environment and have high levels of literacy and numeracy skills, coupled with excellent attention to detail.
VP International Formats Diary Management & Travel, Event Logistics
- Setting up complexed meetings within different time zones which include global, client, team & internal meetings.
- Co-ordinate logistics for international conferences and other events eg: MIP/ LA screenings/ NATPE/ ATF Singapore /London Screenings / Format Summits and other Events
- Includes researching and booking meeting rooms, external venues & hospitality requests
VP International Formats Travel & assist with Team Travel where needed
Liaising with the Sony travel office to provide costed options for business trips
- Includes booking air travel, train travel, bus, taxis and car hire
- Assist in acquiring accurate travel docs (including visas and health certificates)
- Log costs in central T&E tracker
VP International Formats expenses and assist with Team Travel (Production Consultants) where needed
- Responsible for the prompt processing of VP’s expenses in Concur
- Assist where required for Production Consultancy recharges
- Monitor flow of expenses through approval process
Department Administration
- Maintaining Format Sales & Production Diary & relevant distribution
- Maintaining an accurate log of License Agreements key details
- Assisting in weekly preparation of department Top 3s
- Logging team WFH and Holiday days
- Maintaining Team Project list and recording action from meetings
- Assist with team requirements for follow up with clients with appropriate sales and production material (including screeners and format information as requested).
- Maintain and update the master distribution list for internal partners
- Maintain and update key format client list
- Assist with department presentations (PowerPoint)
- Assist with format Bible preparation & Screeners
- Assist with format development and games testing / run throughs as required
- Responsible for co-ordinating on boarding of new starters in the team
- Assist with ad-hoc requests for stationary / business cards / subscriptions / post / shipping / courier requests / taxis
Preferred Qualifications and/or Experience
- 2 years experience as a PA and / or Team assistant
- Previous experience working in a fast-paced media environment
- Previous experience working in an International company
- Excellent written and verbal communication skills (English)
- Excellent numeracy skills
- Experience working with MS Office: Outlook, Teams. Proficient with Word, Excel and Powerpoint
- Proven track record to prioritise with strong attention to detail
- Thrive in a busy team environment
- Confident and pro-active, with excellent interpersonal skills.
- Comfortable with new technology applications
- Foreign languages are desirable but not crucial
- Experience in a TV production and / or TV Sales environment preferred but not a must
