Regulation Administrator
Main Purpose of job:
Customer service, register administration, committee secretary
Reporting to:
Deputy to Head of Operations
Liaison with:
AHCS wider team, external stakeholders, applicants, registrants, assessors
Location:
Home based but must travel to monthly team meetings in Kettering, Northamptonshire
Role & Responsibilities
Regulation Administration
- Acting as the first point of contact for registrants and external stakeholders and responding promptly to email and phone queries
- Register administration – reviewing register application and requesting further information if required/approving application
- Maintaining a positive, empathetic, and professional attitude toward registrants and external stakeholders at all times.
- Knowing our Register processes inside and out so that you can answer questions.
- Communicating and coordinating with colleagues as necessary.
- Updating registrant records where appropriate
- Ensure customer satisfaction/maintain high customer satisfaction
Committee Meetings
- Act as Committee Secretary to Regulation Board
- Schedule dates for quarterly meetings
- Assist Deputy Registrar with Agenda preparation, and collation of supporting papers
- Attend and minute quarterly meetings
- Follow up on Actions to ensure completed
- Act as point of contact for Regulation Board members
Miscellaneous
- Attend monthly 1:1 meetings with Deputy to Head of Operations
- Attend twice yearly appraisal meetings to review progress against deliverables and objectives
- Provide back-up for absent colleagues due to sickness or on annual leave
- Attend and participate in monthly team meetings, updating on own areas of work.
- Routine administration as required
As this role develops, the Regulation Administrator may be required to undertake other duties from time to time as the Academy team may reasonably require. You may occasionally be required to travel away from the home base for work purposes, which may extend past normal working hours.
Person specification
Essential
- Previous customer service experience
- The ability to actively listen to customers to adequately gauge and address their needs
- Excellent verbal communication skills to clearly share and relay information
- Computer literate, including knowledge of Microsoft Office
- Experienced Minute taker
- The ability to remain calm and polite when dealing with challenging customers
- Strong problem-solving skills to determine the best possible solutions for client issues
- Good command of the English language
- Customer orientation and ability to adapt/respond to different types of characters
- Ability to multi-task, prioritize, and manage time effectively
- Ability to work independently and take the initiative
- Understanding of and commitment to Equality, Diversity and Inclusion
- Must have a valid driving licence and access to a vehicle for attending meetings
Desirable
- Knowledge of Healthcare Science and the role Healthcare Scientists play in the NHS
Job Types: Full-time, Part-time, Permanent
Salary: £25,000.00-£28,000.00 per year
