Responsibilities*
Serve as an influential recruitment leader for SMTD. Focus is on creating and delivering 1) an effective, sophisticated auditions/interview experience for applicants, faculty, and staff; 2) an impactful Campus Day experience for admitted students.
Manage Music, Musical Theatre, Theatre, and Dance Auditions & Interviews (July-March) 50%
- Develop, implement, and administer the audition/interview scheduling process. Collaborate with faculty to define audition/interview requirements and scheduling parameters. Build and curate in-person and online events to efficiently deploy these requirements.
- Design and implement both in-person and online audition/interview events for SMTD departments, utilizing a combination of data management systems such as FileMaker Pro, Google Suite, Slate, and more.
- Manage the communication of audition/interview dates and appointments to applicants, explain student preparation expectations as needed, and share audition/interview schedules with faculty and offices involved.
- Organize the master schedule for each audition day, and negotiate for needed building spaces.
- Oversee and actively participate in the on-site and online support of 20+ audition days, helping staff, faculty, and volunteers to present SMTD in the best light.
- Manage the acquisition of appropriate rental spaces for three (3) days of Chicago Musical Theatre auditions, ensuring contracts and payments are executed.
- Analyze data and prepare reports for year-end statistics for all 2,000+ SMTD auditions and interviews.
- Manage and approve audition and travel expenses within the allocated budget.
Supervise Auditions Support (November-April) 10%
- Hire, train, and supervise two full-time, seasonal auditions support staff members to assist with:
- Scheduling and organizing auditions
- Providing online and on-site operational support on audition days. Creating and distributing physical materials for applicants and their families regarding their audition experience.
- Building individual Campus Day schedules for admitted student visitors in March and April
- Effectively delegate additional work to support staff as needed.
Admissions: Prospective and Incoming Students (March-November) 20%
- Design and lead SMTD participation in Campus Day, a visit program for admitted students. Coordinate SMTD and OUA program offerings, communicate visit dates, create activities and appointments, and share schedules with faculty and offices involved. (March-April).
- Meet with prospective students and families to explain School and University admissions policies and procedures and answer questions on academic programs, auditions, applications, and campus life. (March-November).
- Travel and represent the School at college fairs, recruitment visits, and receptions. Participate in discussions and decisions on additional recruiting efforts. (May-November).
- Provide logistical and/or directional support to the SMTD Office of Admissions new student orientation programs as needed (May-August).
Website and technology (April-November) 20%
- Manage the Auditions Scheduler database, the Slate Artistic Profile interface, and the Slate audition registration system in coordination with Admissions BSA.
- Update the SMTD website with audition dates, requirements, and other information.
- Develop and manage marketing campaigns (email, etc.) to inform applicants of audition processes.
Required Qualifications*
- Bachelor's degree.
- Experience in, or understanding of the performing arts.
- Demonstrated interpersonal skills, to include high-level service skills and the ability to work collaboratively in a team environment is necessary.
- Requires the ability to exercise sound independent judgment and employ sophisticated reasoning skills. Must be able to plan, organize and manage a large workload, with excellent attention to detail and a strict timetable.
- Demonstrated sophisticated skills in the use of cross-platform information management, through integrated databases (e.g. FilemakerPro), Excel, and unique vendor software.
- Demonstrated ability to manage detail with accuracy.
- Required multi-tasking skills.
- Ability to work evenings and weekends when required.
- An understanding and appreciation of higher education and the diverse cultures within the University is essential.
- Demonstrated ability to exercise a positive service-oriented attitude, initiative, and follow-through in all work.
Desired Qualifications*
- Bachelor's and/or master's degree in the performing arts.
- One or more years of experience working in music admissions, financial aid, and/or music recruitment.
- One year or more experience in data analysis, database design, functional programming, and/or object-oriented programming.
Additional Information
This position reports to the SMTD Associate Director for Admissions. Some out-of-town travel is required in the summer and fall, and may include weekends. Some overtime hours during the height of the admissions season, December-February, will likely be required.
Candidates for this position must be legally authorized to work in the United States. Visa sponsorship is not available for this position.
