Williams Lea seeks a Records Assistant to join our team!

The Job:
The services provided by the Williams Lea team include but are not limited to: mailroom services (receipt, sortation, delivery, collection and despatch of mail and courier services and associated admin); reprographics; records management; MFD first line support and replenishment; stationery services, copitrak data entry. The operating hours are Mon – Fri, 08.00 – 18.30 for Mail Services and 08.00 – 20.30 for Reprographic Services. The team of 11 work in either reprographics or mail services but are expected to assist the other team. This role sits within mail services, working 37.5 hours per week on a weekly shift pattern of 08.00 – 16.30 or 10.00 – 18.30 with only very occasional cover in reprographics.
The role is physical (involves manual handling of archive boxes and files, use of trolleys and delivering to and collecting files from clients on different floors) and also interacting with clients, offering feedback and guidance on records procedures. The role will require retention review project work and other ad hoc projects from time to time, which will include the clearing of case rooms and bulk transfer of files to Crown, which may involve working outside normal office hours and will be agreed in advance and paid as overtime.
Whilst this is primarily a records management role, team members are required to perform duties across the range of services and therefore this role requires a flexible, ‘can do’ attitude to:
- Deliver services to the required Service Levels (SLAs) and high-quality standards
- Ensure all processes are followed accurately and consistently and to flag any process or service failures to the Senior Operator or Office Services Manager
- Always represent Williams Lea positively, demonstrating professionalism and pride in the service

You must have good verbal and written communication skills to persuade and influence colleagues and clients in a professional manner. You will be able to take responsibility to ensure outstanding service and smooth out potential problems. You must be client focused and strive to exceed client expectations with a careful and methodical approach.

We are looking for someone who ideally has experience of mailrooms or reprographics and knowledge of Firetrack software, although this is not essential. Further to this, it would be beneficial if you had experience in operating PDAs.
The Package:
