Receptionist – Zero Hours Contract
Covering the offices: Stourbridge, Kidderminster, and The Waterfront
Talbots are currently looking to recruit a Zero hours contract receptionist to provide 'as and when' cover for holidays, absence and sickness. Office hours are currently from 8am - 6pm.
Receptionists ensure a prompt, efficient and personal service to both new and existing clients. It’s imperative that members of our front of house team have the personal drive and commitment to ensuring excellent in customer service delivery - whether it is on the telephone, online or in person.
Receptionists need to be able to cover holidays and unexpected absences on a part-time or full-time basis. As a general rule this will be bookable in advance but we also need to have a plan for the unexpected!
A passion for creating great rapport with a wide range of clients, visitors and colleagues is essential… A shameless love of organisation and productivity is vital to maintaining the efficient and client-focused administration and synergy of the team.
Key Tasks and Responsibilities
- Welcoming clients and visitors, directing enquiries in person and over the telephone
- Making drinks for clients/visitors and ordering refreshments for larger meetings
- Copying and certifying ID for clients
- Daily banking
- Upkeep and organisation of reception meeting rooms
- Petty cash and receipts
- Archiving
- Attendance sheets
- Monthly housekeeping audits
- Weekly stationery orders
- Take initial card payments, update the database and prepare posting slips
- Train/Induct Talbots Law new starters in the Company's approach to new enquiries/marketing
- Attend training courses and Company workshops as may be required
- Ensure compliance with SRA, Lexcel, Law Society Quality Scheme standards, SARs and accounting requirements
Essential Competencies
- Positive, outgoing and friendly personality with excellent interpersonal skills, sensitivity, tact and diplomacy
- Pro-active, self-motivated and passionate about giving outstanding client care
- Good telephone manner and ability to handle a busy switchboard, directing calls promptly and accurately
- Organised and practical with the ability to remain calm under pressure
- Accurate and articulate in written and spoken communication (including excellent spelling and grammar)
- Attention to detail, accuracy with numbers and calculations
- Proficient in the use of all MS Office applications, email and the internet
- Basic knowledge of legal services
- Knowledge and understanding of case management systems;
- Previous experience of working in professional services
- Understanding of data protection, client confidentiality and compliance considerations
