Job description

We are currently looking to recruit a part time receptionist for the Welcome Desk at Ipswich Hospital.

This is a permanent position working Friday's & Saturday's 12:00 – 20:00

In this role you will be required to provide a customer focused Welcome Desk service. The is a 24 hour service, 7 days a week and the successful applicant will be required to work rotational shifts.

Duties include:

  • Directing visitors/patients and staff
  • Advising visitors/patients and staff regarding parking including registering Blue Badges onto the parking system
  • Using the Portal to locate patients for visitors
  • Answering general enquiries over the phone/face to face
  • Issuing visitor ID Badges
Successful applicants must have:
  • A customer-orientated approach
  • Good verbal and written communication skills
  • The ability to maintain confidentiality
  • Good IT skills (Microsoft Office)
  • Excellent attention to detail
  • The ability to react flexibly and manage priorities in ever changing circumstances
  • Ability to act calmly and effectively
  • Ability to use tact and diplomacy in all situations
You should have the ability to work under your own initiative as well as part of a small team, supporting other Team Members and Managers.

Main duties and responsibilities will include: -
  • Meet, greet and direct patients and visitors to the correct destination
  • Use the Portal system to search for inpatients at the request of visitors. Adhere to the strict rules of confidentiality for this service at all times
  • Issue car park vouchers to authorised recipients
  • Register blue badges onto the car parking system
  • Issue visitors badges, recording all relevant details, and check all are returned at the end of the day. Report any unreturned visitor badges to appropriate department
  • Assist patients to make transport arrangements if required and answer any transport enquiries. Oversee the wellbeing of patients, responding to their needs at reception until their transport arrives
  • Contact PALS on behalf of visitors. In the absence of PALS staff, take details of complaints from visitors and pass to PALS staff at the earliest opportunity
  • Monitor cleanliness and tidiness of reception area and contact the Helpdesk for additional cleaning if required
  • Answer any telephone calls politely, efficiently and without delay
  • Keep up-to-date of changes to services provided by the hospital and building developments via Intranet notices and other notifications. Update departmental lists, information and maps as appropriate
  • Any other duties as may reasonably be required, commensurate to the grade of the post
