We have an excellent opportunity for an enthusiastic Reception Supervisor to work at our well established surgery in Crossgates, Leeds. You should be a friendly, hardworking individual who will enjoy providing excellent care and support to our team and patients to the highest standards.

You will be responsible for the day to day supervision of the reception team and reception functions including repeat prescribing, appointments and the clinical system, ensuring all functions are carried out in accordance with agreed procedures, protocols and time-scales.

Manston Surgery is a busy practice based on the outskirts of Leeds (LS15) with close links to A1/M1/M62 motorways. We operate over 2 sites (Crossgates and Scholes) and have a list of 8300 patients. Along with 2 GP Partners and 3 salaried GPs, we employ a large team of nursing, administration and reception staff.

The practice is committed to high quality care, with consistently high Quality and Outcomes Framework (QOF) achievement. It continues to aspire to meet the challenges and targets of the NHS and National Standards requirements.

Job description

Job responsibilities

Leading monitoring, motivating, and inspiring the reception team; providing guidance and support to ensure that all the duties of a busy reception team are kept up to date.

Review of existing standards and procedures while implementing new best practices to ensure a seamless delivery of front of house services

Managing internal surgery and external 3rd party appointments to maximise optimal use for the practice.

Produce, manage, and operate the reception rota, checking future planned absences and planning cover to ensure the team is adequately staffed at all times.

Be responsible for initial and ongoing training of reception staff.

Taking responsibility for the punctual opening and closing of the premises ensuring that security procedures are adhered to by staff.

Be the lead on PCN initiatives, attend training and be able to cascade down to all reception staff.

First point of contact for receiving and dealing with patient enquiries/minor complaints.

Participation in staff meetings with detailed summaries of workload lists.

Maintaining staff health and safety compliance.

Responsibility for the co-ordination of the Practice Patient Group (PPG)

The duties of this role may be amended from time to time as the job evolves in line with the continued development of the practice.

Person Specification

Qualifications

Essential

  • - GCSE English Grade C or equivalent GCSE Maths Grade C or equivalent

Experience

Essential

  • - Experience of working in a GP practice.
  • - Experience or aptitude for staff management.
  • - Competent with IT packages particularly Microsoft 365.
  • - Excellent communication skills and ability to build a rapport with patients and staff.
  • - Ability to work to deadlines in an often stressful or emotive environment. Flexible proactive approach to duties and working arrangements.
  • - Good organisational skills

Desirable

  • - Working knowledge of SystmOne or similar clinical package
