The Receptionist & Office Coordinator is responsible for the seamless day to day operational running of the London Magic Office and providing advice or support to satellite locations where required. Building and sustaining relationships both internally and externally. Reporting into the UK Facilities Manager.
Role Accountabilities:
- Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
- Answering, screening, and forwarding incoming phone calls
- Being the first point of contact for security, working with them to ensure all visitors are announced and entrance kept immaculate.
- Coordination of meeting rooms including daily routine checks to keep the standard to a high standard.
- Responsible for email enquiries for Reception and Facilities, being the first point of contact for all office related queries and ensuring timely and professional responses.
- The main point of contact for the day cleaners, working together to ensure high level cleaning standards and all KPI’s and SLAs are met.
- Any ad hoc projects that the Facilities Manager may request (or global head of safety and facilities)
- A leading role on the social Committee to help all social engagement in the office to create a better workplace.
- Monthly checks of the office space, ensuring any issues are recorded and followed up on
- Ensure all required legislation is displayed, for example H&S Act, Employees Liability, Fire/Emergency plan within the office.
- Onboarding and inducting new staff to the building.
Requirements
- Be a central point of contact for the Magic Office thus being friendly, approachable, helpful, and professional always.
- Excellent communications, written and verbal.
- Proactive and can-do attitude
- Great problem-solving skills and an ability to take decisions in a fast-paced environment.
- Being confident when dealing with all levels in the business, including founder and senior leadership teams.
- Previous Coordinator or Reception experience
- Computer literate with intermediate MS Office skills as a minimum
