Reporting to the People Business Partner, the job holder will be the first point of contact for all visitors to the office ensuring they are greeted appropriately and directed as necessary. You will ensure that all Receptionist tasks are completed accurately and delivered with high quality and in a timely manner. In addition, you will provide administrative support to the Managing Director, People Team, and wider Senior Leadership Team where needed.
Key responsibilities
- Providing a warm, welcoming meet and greet service to our visitors, including providing any refreshments and visitor building tours
- First aider & fire marshall
- Answering calls and screening efficiently, taking and delivering messages and dealing with enquiries in a polite and friendly manner
- Ensuring knowledge of staff and visitor movements in and out of the building for fire safety purposes
- Booking, recording and handling all incoming and outgoing post & couriers
- Ensuring all parcels delivered to the correct person / department
- Managing stationery and general stock in the office including milk, tea, coffee, sugar, fruit
- Responsible for ad-hoc sourcing and booking cost effective and efficient travel and accommodation arrangements within company guidelines where necessary
- General administration such as photocopying, scanning, printing, binding and filing
Producing documents and presentations
- Arranging taxis for visitors and/or Senior Leadership as required
- Booking catering and provide refreshments for meetings held at the office. Buying the items locally and set up these in the room
- Team event planning and organisation
- Raising POs for any office expenditure and processing office credit card expenditure on concur
- Management of stationery and kitchen supplies
- Supporting the Leadership Team with expense reconciliations and submissions via Concur
- Any adhoc administrative support to Managing Director, People Team and/or wider leadership team
- Set users up via Reception email for Ihasco – namely, health & safety and fire safety
- DSE questionnaires
- Processing and management of Visa’s
