Location: Holborn, London, UK.

Split Shifts (8.00am – 4.00pm) (11.00am – 7.00pm)

What will you be doing?

We are looking for an experienced and capable receptionist to join our fast-growing global B2B media company.

In this role, you will ensure the reception area is always maintained and will provide support for other departments when needed. Your main responsibilities will include greeting customers, maintaining the phones and covering the desk when the other receptionist is on lunch. You will provide consistent and professional customer service, ensuring excellent punctuality and adherence to relevant health & safety procedures at all times.

This is a great opportunity to work in lovely offices with a supportive organisation to develop and grow as a receptionist and take on responsibility for other projects within the business as required.

Key Responsibilities
  • Opening the office on a daily basis
  • Covid Responsibilities which include checking covid passes for employees and visitors and checking that antigen tests have been received for employees attending the office
  • Answer telephone, screen and direct calls
  • Perform reception duties in an efficient, professional and courteous manner
  • Take and relay messages
  • Greet Clients
  • Liaison with Building Reception/Security re visitors
  • Deal with queries from the public and customers
  • Manage the meeting room diary
  • Ensure meeting rooms are presentable and fully stocked at start and end of day
  • Open & distribute the post and internal mail on a daily basis morning and afternoon
  • Organise the outgoing post
  • Purchase Orders
  • Book couriers and taxis when needed.
  • Tidy and maintain the reception area
  • Stock control
  • Ensure the stationery room is tidy at all times and adequately stocked
  • Liaise with suppliers
  • Supervise daytime cleaner
  • Administering Archiving
  • Assist with guest travel booking as required
  • Gym Booking
  • Control of fruit, milk and daily newspapers
  • Order the monthly coffee, tea and biscuits
  • Provide general administrative and clerical support for other departments as needed
  • Manage reception temporary staff
  • Arrange working lunches and assist with client/staff functions as required
  • Health & Safety Responsibilities: First Aider & Fire Warden
  • Arrangements for staff events: Christmas party/Summer party
Skills & Experience
  • Experience as a receptionist within a corporate environment
  • Excellent communication skills to deliver polite and professional customer service
  • Good administrative and clerical skills
  • Good computer skills including email, Word documents and Excel spreadsheets
  • Professional personal presentation
  • Good organisational and planning skills
  • Attention to detail
  • Reliable
  • Able to use initiative
