Job description
Part Time Receptionist
Worcester Chiropractic Clinic
Bromyard Road, St Johns
The Role
You will be the first point of contact for new and existing patients as they enquire about appointments.
You will deal with a relatively large number of enquiries, coming in the form of emails, phone calls and walk-in requests. Often these enquiries can come in bursts.
You will book an appointment in response to most enquiries, however some patients will require advice or reassurance.
As well as dealing with incoming enquiries, you will also look after patients when they attend the clinic; ensuring medical forms are complete, booking appointments, taking payment and providing receipts.
You will also ensure that clinicians have everything they need to operate, from patient files to equipment and consumables.
The role also includes a small amount of administrative work, such as processing insurance requests, formatting/printing medical letters and updating clinical statistics. You will be using digital software for nearly all tasks.
The Clinic
Worcester Chiropractic Clinic has been established for 36 years. In that time, we have helped tens of thousands of people with nerve, muscle and joint problems, from sciatica to headaches.
We are a private clinic, aspiring to offer the highest standard of care from the moment somebody makes an enquiry.
The variety of patient attending the practice is one of the most enjoyable aspects of the clinic – you will get to meet people from every walk of life imaginable.
There are three chiropractors at the clinic, working from Monday to Friday with two late evening clinics on Monday and Wednesday.
The chiropractors are supported by three reception staff, one of whom is leaving, opening up this role.
Continuity is important to us, and this is only the fourth time we have recruited in the last 20 years.
There is a culture of shared responsibility and equivalence, with everybody mucking in and nobody being left out in the cold.
Because of the need for teamwork and the supportive nature of the clinic, as well as the variety and sociability of the role, we think Worcester Chiropractic Clinic is a fantastic place to work.
Every time you answer the phone, you have an opportunity to help somebody who is struggling with pain, and the gratitude receptionists generate shows just how important the position is.
Essential Skills
Ø IT literate:
Most of your day-to-day tasks will be carried out on computer, using spreadsheets, calendars, emails and clinic software.
Ø Communicative:
As a proactive communicator, you will keep colleagues informed of everything that is going on at the clinic during your shift. You will also build relationships with patients and ensure that they are comfortable and happy.
Ø Sensitive:
Some patients may be nervous, others desperate to have a chat. Being able to identify and correctly respond to different personalities makes a huge difference to the enjoyability of the job, but also to the experience of patients.
Ø Organised:
Keeping on top of things makes life so much easier with a busy clinic, and keeping track of the progress of different tasks is extremely helpful to other members of the team.
Ø Multi-tasker:
Often, everything happens at once; multiple phone calls, email enquiries, patients in front of you, letters that need sending. Being able to prioritise and deal with these multiple demands efficiently, whilst not losing site of less-urgent tasks, is crucial.
Experience working in a healthcare setting is not necessary as all training will be provided. We welcome applications from a range of backgrounds so that we can learn from expertise in other sectors.
