The Department of Computer Science, founded in the Faculty of Arts and Science in 1980, is one of the four departments in the Faculty of Engineering and Computer Science and offers a variety of undergraduate and graduate degree programs.
Reporting to the Assistant to the Chair, the Receptionist/Program Support is the first point of contact for the Department. The incumbent acts as faculty resource person, answers inquiries (at the counter, on the telephone or email) from students, faculty and general public by applying a limited number of established precise procedures and when necessary, re-directing queries to appropriate personnel.
The Receptionist/Program Support is responsible for a variety of duties most cyclical in nature. Duties include: general office support (reception, key distribution, managing cash, ordering supplies, room bookings, sorting and distributing mail/courier items); organizing, preparing and compiling materials for exams, textbooks and other course materials; maintaining course grade files; undergraduate and graduate program support; maintaining of department library; advertising of colloquiums/seminars; supporting document gathering for accreditation purposes; and other duties of similar scope and complexity. This position provides back-up coverage for the Graduate Secretary and Financial Secretary in their absence.
Experience:
A minimum of one (1) year of relevant experience in a similar position, preferably in post-secondary or a comparably large and complex environment and/or an equivalent combination of education, training, and experience.
- Strong communication and interpersonal skills with demonstrated ability to work effectively cross-culturally within a team environment, as well as the larger UVic community and external agencies.
- Experience with standard office equipment and knowledge of general office procedures.
- Ability to work independently with limited supervision and resolve tasks and/or problems by exercising judgement and innovation, and employing critical thinking and/or analysis
- Detail oriented with extreme accuracy shown in data entry and the preparation of documents.
- Sound understanding of basic accounting processes regarding cash handling and cheque requisitioning.
- Strong organizational, interpersonal and multi-tasking
- Ability to accurately and independently manage multiple tasks and priorities within an environment where there are frequent interruptions.
- Advanced proficiency with computer applications (i.e. MS-Office Suite, Adobe Create Suite, content management systems).
- Knowledge of Banner Student System, Banner Extender, FAST Student, FAST Financial, Adobe Acrobat Pro, RocketChat, Kuali and MS Teams are an asset.
Specialized Knowledge/Education:
Secondary school graduation or equivalent.
