Medical Receptionist / Front Desk
Position Overview:
We are seeking a creative, passionate, and altruistic individual with excellent people skills and a love for the environment to join our family-owned acupuncture clinic in a customer care and administrative role. You will be the first point of contact for our patients (we call them Turtles), providing enlightened hospitality and ensuring a warm, healing environment. Additionally, you will assist in the day-to-day operations of the clinic and actively contribute to our efforts in environmental activism.

We have started as an acupuncture and East Asian Medicine clinic, and we intend to grow our business into other areas related to traditional-human wisdom, personal well-being, and sustainability. Our goal is to provide opportunities and infrastructure for Louisvillians who wish to do so to become better-functioning humans and more effective environmental stewards. Team members will have the opportunity to help us craft and realize that vision from the beginning and, if desired, to move into our future businesses, potentially even in leadership roles, as they are created.
Current Responsibilities:
1. Reception Duties:
- Greet patients as if they are treasured members of your own family.
- Schedule appointments, answer phone calls and emails, and field patient inquiries with compassion and excellent communication skills.
- Maintain accurate electronic patient records, including personal information, preferences, and billing details.
- Handle insurance verification and billing procedures efficiently and confidentially.
- Coordinate with owners/providers to ensure seamless patient flow and optimize clinic efficiency.
2. Patient Care:
- Foster a calm, caring, and supportive environment for patients, demonstrating empathy, a willingness to linger, and active listening skills.
- Get to know patients' passions, talents, hobbies, and preferences so as to provide customized experiences.
- Prepare and turn over treatment areas, ensuring cleanliness, organization, and aesthetic quality.
- Launder and fold clinic linens and machine-wash dishes using onsite facilities.
- Provide basic instructions to patients regarding treatment procedures, aftercare, and wellness practices.
- Monitor and manage patient schedules and payment plans.
3. Environmental Sustainability & Activism:
- Contribute to our clinic's environmental sustainability initiatives by implementing and promoting practices that cause the least amount of environmental harm possible in our industry.
- Monitor and reduce the clinic's energy consumption by actively managing equipment usage and implementing energy-saving strategies.
- Facilitate proper waste management, composting, and recycling practices, educating patients and visitors about the importance of environmental conservation.
- Identify further opportunities to incorporate sustainable materials and practices in daily operations, such as paperless/plastic-free processes and environmentally friendly products.
- Stay updated on current environmental issues and trends, suggesting innovative ideas to enhance our sustainability and activism efforts.
Qualifications:
- High school diploma or equivalent.
- Experience in a service role, whether in retail, hospitality, childcare, teaching/education, healthcare, or similar.
- Demonstrated commitment to making healthy choices around food/drink, physical activity, and work-rest/work-play balance and a strong preference for preventive, natural, and holistic medicine.
- Demonstrated passion for the environment and sustainability, with an eagerness to promote eco-friendly practices and other adaptive behaviors in the community.
- Excellent interpersonal skills, with the ability to communicate clearly and compassionately with diverse individuals.
- Attention to detail and accuracy in handling tasks.
- Proficient computer skills.
