We are looking for a Patient Services Co-ordinator to join our Reception team. The successful candidate will work within our small but mighty team to provide a quality service to our patients and the practice. The successful candidate will be able to demonstrate use of own judgement and communication skills when dealing with patients and their needs. The role is varied covering all aspects of reception duties in order to provide all-round excellent service to our patients and their families.
Job Responsibilities:
· Welcome all to the practice in a polite and professional manner whilst ensuring an effective and efficient reception service is upheld.
· Manage and process all enquiries received at the practice from both patients and external healthcare providers.
· Liaise with patients to arrange new and follow-up appointments using signposting tools available.
· Recognise and respond to urgent care situations using relevant signposting tools i.e. patients with no prior appointment needing urgent consultation are seen in a logical and non-disruptive manner.
· Scan all patient correspondence into the clinical system efficiently whilst ensuring the relevant coding is carried out. All correspondence should be available on the clinical system by time of patient’s next consultation.
· Process all repeat prescription requests received at the practice in line with the relevant safety procedures.
· Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
· Answer incoming telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
· Enter requests for home visits, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
· Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
· Enter patient information correctly into the clinical system.
· Open and date stamp post both internal and external.
· Ensure the practice opening and closing procedures are completed in line with policy.
· To have a thorough knowledge of all Practice procedures.
· Manage the reception/waiting area, including being aware of your surroundings and patients in the waiting room, which doctors and nurses are currently working in the building and whether they have arrived for their clinics, observe clinics running late and advise patients waiting.
· Undertake any other additional duties appropriate to the post as requested by the Partners or the Practice Manager.
· Maintain confidentiality throughout your role.

· Previous experience of working in the NHS is welcome but not essential.
About Us
The Leith Hill Practice is a dispensing GP practice situated between Horsham and Dorking. Our patients in the 2022 NHS Patient Survey have voted us number one in Surrey. Our friendly team of healthcare professionals and support staff provide care to over 8000 patients within the surrounding area. We are based across two sites in Capel and South Holmwood, with our main site being in Capel village. As part of the Dorking PCN we work closely with the local practices and a team of multidisciplinary staff consisting of Clinical Pharmacists, Social Prescribers, Physiotherapists, Paramedic Practitioners and more, to provide the highest level of care. As a training practice, we also hold placements for GP Registrars, Student Nurses and Medical Students.
