Post Receptionist (Part time - maternity leave cover)
Grade 3
Hours 25 hours per week
This job requires some flexibility; the standard hours for this position are 16.00 to 21.00. However, cover is required to be provided for colleagues on the other shifts, for example to cover for annual leave
(working from 12.00 to 21.00 which case overtime will be paid).
Occasional Saturday working may be required, for which time off in lieu or overtime will be given.

Job purpose
Provides a welcoming, professional and approachable presence at Fund reception points helping visitors make the best use of the Fund and its services.
Main responsibilities
- Provides one of a number of possible first points of contacts for visitors at The King’s
Fund reception point and enquiries desk.
- Maintains up to date knowledge and information about the range of Fund products and services, in order to either answer enquiries from visitors and callers or direct them to the most appropriate member of King’s Fund staff.
- Provides directions and/or guides to next point of contact if required (including calling staff and tenants to collect visitors).
- Operates the switchboard at reception.
- Acts as the collection/delivery point for couriers and other small deliveries
- Liaises with Venue Services, Events and Leadership and Organisational Development and ensures that delegates and programme participants are quickly directed to their registration points.
- Sells publications and other products, as and when required by the Communications directorate.
- Directs IKS enquiries to the IKS reception in the Information Centre and passes the enquiries on where appropriate.
- Maintains a vigilant watch on visitors entering and leaving the building and alerts the
Facilities Support and Security Coordinator of anything suspicious.
- Issues temporary security passes to temporary staff and contractors and maintains the register.
- Manages the waiting area and ensures visitors are cared for appropriately e.g., keeping the reception waiting area neat and tidy and advising staff/tenants of visitors’ arrival.
- Monitors the office services inbox, responding to and coordinating/actioning requests as necessary.
- Coordinates and records items of lost property and deals with any enquiries relating to this.
- Coordinates the weekly rota for the Commercial operational teams and issues accordingly.
- Presents a smart professional image and always wears the King’s Fund front of house uniform (provided) when at the reception desk.

- Actively contributes to effective communication within the team and with others across the Fund.
- Ensures that the organisation’s business and information systems are utilised for the benefit of the team, directorate and Fund.
- Ensures any finances related to the role are in compliance with related policies and procedures.
- Effectively contributes to project/business performance by planning, co-ordinating, delivering, evaluating and communicating as appropriate.
