Job description
As a front office receptionist at a school, your role is to provide administrative support and serve as the first point of contact for students, parents, and visitors. Here are some key responsibilities and tasks typically associated with this role:
1. Greeting and Welcoming: Welcome visitors, students, and parents to the school, and provide them with a positive first impression. Offer assistance and direct them to the appropriate person or office.
2. Managing Phone Calls: Answer incoming calls, provide information, and direct calls to the appropriate staff members or departments. Take messages and ensure they are delivered promptly.
3. Scheduling Appointments: Schedule appointments for parents, students, and staff members. Maintain an organized calendar and manage appointment reminders.
4. Maintaining Records: Manage student attendance records, visitor logs, and other administrative documents. Ensure confidentiality and accuracy when handling sensitive information.
5. Assisting with Enrollment: Provide information and assistance to parents and students regarding enrollment procedures, registration forms, and required documents. Help with the completion of enrollment paperwork.
6. Managing Mail and Deliveries: Receive and distribute incoming mail, packages, and deliveries. Coordinate outgoing mail and ensure it is sent out in a timely manner.
7. Providing Information: Answer general inquiries about the school, its programs, policies, and procedures. Provide information on upcoming events, activities, and school announcements.
8. Emergency Procedures: Familiarize yourself with the school's emergency procedures and protocols. Be prepared to handle emergency situations calmly and efficiently, such as notifying the appropriate staff and emergency services when necessary.
9. Assisting with Administrative Tasks: Support administrative staff by completing various tasks, such as data entry, filing, photocopying, and organizing documents.
10. Collaborating with Staff: Maintain effective communication with teachers, staff members, and administrators to ensure smooth operations and address any concerns or issues promptly.
It's important to note that specific duties may vary depending on the school's size, grade levels, and organizational structure. Additionally, your role as a front office receptionist may involve additional responsibilities assigned by the school administration.
Job Type: Full-time
Pay: $15.00 - $17.00 per hour
