Job description
We have a vacancy for a receptionist to join our friendly team in Pulborough, working part-time for approximately 20 hours per week. Additional hours will be available on an ad-hoc basis to cover staff holidays and sickness.
- Reception Duties
a. To greet patients on arrival and to log arrivals on to the computer screen or direct patient to self check in
b. To ensure urgent cases are seen as appropriate.
c. Explain practice arrangements & formal requirements to new patients & those seeking temporary cover, ensure procedures are completed.
d. Advise patients of relevant charges for private services, accept payment & issue receipts for same.
e. Respond to all queries & requests for assistance from patients & other visitors.
f. Enter requests for home visits onto computer & including all relevant information such as address, telephone number, reason for request & urgency. Refer to Duty Doctor where necessary.
g. To receive messages for district nurses, health visitors & other members of the primary care team send tasks as appropriate.
h. To check messages on computer screen to ensure that information about any unresolved or urgent matter is passed on to colleagues.
i. To check waiting areas after each session & ensure reception & waiting areas are kept neat & tidy.
2. Operation of Telephone System
a. Receive & make calls as required. Divert calls & take messages as appropriate.
b. Enter details of telephone calls on to computer relaying patient’s messages to doctors.
c. Telephone patients with messages regarding results etc.
d. Ensure that the system is operational at the beginning of each day & goes over to out of hours smoothly at end of day.
3. Start and end of day procedures
a. Open up premises at the start of the day & make all the necessary
preparation to receive patients.
b. Follow end of day procedures & ensure that offices & consulting rooms are checked, computers are switched off & windows are closed.
4. Administration Duties.
a. Ensure all mail is passed onto scanning
b. Process repeat prescriptions as per protocol.
c. When required action requests for ambulance & transport & enter details on computer.
5. Any other delegated duties considered appropriate to the post.

b. Ability to use own judgement, resourcefulness, common sense & local knowledge, to respond to patients enquiries & requests.
c. Excellent communication skills.
d. A willingness & ability to work as part of a large primary care team.
e. A willingness to take part in further training & development as identified.
f. An ability to keep calm under pressure in a busy working environment
