Job description

We are looking for a self-motivated, enthusiastic individual to join us as a Receptionist in the Renal & Transplant team.

This is a varied & busy role that would suit someone who is able to work on their own initiative but also as part of a team.

There is plenty of opportunity for learning & development both within the role & the service as a whole.

Renal & Transplant is a large acute service with many areas & units that require admin support.

This post is crucial to the on-going development of the service and would suit a candidate who has excellent organisational and communication skills with a background preferably within the NHS although this is not essential.

You will be expected to liaise with staff and colleagues at all levels. You will have proven administration & customer service skills with the ability to prioritise and manage your own workload to tight deadlines.

You will need to demonstrate initiative and flexibility in your approach and be able to work in a pressurised and busy environment.

1. Greet patients and visitors in a pleasant and professional manner.
2. Ensure that patients are kept informed of waiting times for outpatient and diagnostic appointments, advising of any problems as and when they arise.
3. Check in and check out all outpatient and diagnostic appointments on EPR, recording the appropriate outcome and 18 week RTT status.
4. In agreement with the patient, book follow up appointment as indicated by the clinic outcome form prior to the patient leaving the service.
5. Appropriately action any patients who did not attend (DNA) their appointment or cancel their appointment on the day. This will involve liaising with the clinician concerned and either booking a replacement week RTT status as necessary.
6. Booking Hospital transport.
7. Actioning and responding to emails.
8. Monitoring and actioning the reception EPR inbox.

1. Demonstrate high levels of customer care and be an ambassador for customer care within the Trust.
2. Provide a robust administration function that underpins the delivery of a high quality service and maintain effective working relationships with clinical, nursing and administrative staff.
3. Answer all telephone calls in a timely manner and action as appropriate.
4. Maintain patient confidentiality at all times.
5. Be flexible in your approach to work, such as covering other job roles at an appropriate grade or site, and to include varying working hours to ensure the service maintains a minimum level of cover during its core hours of 08:00 to 18:00.
6. Book interpreters for patients prior to appointments and admissions as and when required.
7. Book transport for patients who require it, in line with local processes and CCG guidelines.
8. On an as and when required basis, use the Trust IT systems (EPR, PACS, etc.) to; register patients, make up a set of patient notes, make outpatient appointments, produce end of treatment letters, ensure that details are correct, check in / check of outpatient appointments as instructed.
9. On an as and when required basis, take responsibility for all faxes received and distribute appropriately to the clinical and administrative staff within the service.
10. On an as and when required basis, assist with the processing of new referrals on Choose and Book.
11. Any other duties at the request of the Access Team Leader / Service Delivery Manager, which may be needed to fulfil the objectives of the post, which are appropriate to the grade.
