GP Receptionist/Administrator
We are looking for an experienced Receptionist / Administrator to work 37 hours per week in our friendly, busy General Practice Team, to assist with the navigation for our patients and administration duties.
To act as the focal point of communication between patients, doctors, managers and other members of the wider Primary Health Care Team. To signpost to relevant Clinicians/Services that would be most suitable to the patient.
Hours of work: Monday - Friday between the hours of 08:00-18:30 on a rota basis
Principal Responsibilities:
Operate the computerised appointment system in accordance with signposting protocols. Receive and book in patients, monitor the patient flow, make emergency appointments and draw to the doctor’s notice any patients who might require immediate attention
Answer the telephone promptly and deal with enquiries in a helpful and courteous manner, including booking appointments and dealing with patient queries
Provide and receive information face to face, over the telephone, in writing or by electronic mediums from patients, doctors, practice nurse, colleagues, managers, other external contacts (eg, pharmacist, secondary care, nursing homes, etc.), members of the wider Primary Health Care Team and other visitors and ensure that where necessary, messages are passed onto the appropriate person
Undertake general clerical duties including photocopying, scanning, and filing of documents and sending/receiving emails, text messages and monitoring and acting on our patient correspondence through various mediums.
Explain practice arrangements and formal requirements to new patients, ensuring that they are given an invitation for a new registration health check and a patient leaflet and ensure that registration procedures are completed
Input data into the clinical system (EMIS Web and Docman) in accordance with established routine (eg, hospital letters, etc)
Operate the practice call and recall system
Enter cytology results onto the clinical system
Process repeat prescription requests in accordance with the Practice’s prescribing protocol. ie, accept requests for repeat prescriptions, process the entry onto patients’ computer record as directed by the doctor and respond to repeat prescribing review due prompts as appropriate. Prepare for signature and sort in readiness for collection by the patient.
Open, sort and distribute internal and external post
Ensure that practice generated post, including recorded delivery letters are posted on a daily basis.
Complete referrals as per GP Instructions and liaise with consultant’s secretaries regarding patient referral queries and expedite appointments/tests as required
Enter requests for home visits and include any relevant information, extract patient notes and bring any emergencies to the attention of the doctor
Ensure adequate stocks of stationery for use by the doctors and reception and advise management when stocks need to be replenished
When taking over a duty from another colleague at change over of staff, ensure that all relevant messages/detail are passed on to ensure continuity
Participate in any in-house training that may be provided and attend any external training courses as may be considered appropriate to the duties of the post and also participate in staff meetings
Attempt to resolve patient ‘grumbles’ and verbal complaints within 24 hours (in an effort to try and prevent escalation). Deal with complaints as per the complaints protocol
Ensure the reception and waiting areas are kept neat and tidy.
Ensure that notice boards are kept tidy and up to date. Oversee the supply of literature in the waiting room
Deal with the call and recall of patients for chronic disease management, health promotion and screening purposes.
Cover for colleagues in the event of absence through sickness or holidays as required
Carry out any other reasonable requests issued by line Manager/Senior Member of staff within given timescale
Excellent communication and interpersonal skills, able to work as part of a team and ability to work without close supervision and able to prioritise workload, along with a good standard of numeracy and literacy.
Support with identification and notification of Health & Safety issues
