An exciting opportunity on a busy Trauma & Orthopaedics ward. F19 has 28 beds and we are looking for a Receptionist to join our motivated and diverse team who thrive to deliver high quality safe care.

We are looking for an individual who is self motivated, has good time management and is able to work in a busy environment. You must be excellent in written and oral communication skills with the ability to work as part of a team or autonomously.

The post holder will also be required to provide a professional, efficient and comprehensive reception service on the ward. Staff are expected to be courteous and considerate at all times and have excellent customer care skills.

The role requires that you are able to liaise closely with patients and their careers, health care professionals and other colleagues in a courteous and professional manner.

Main duties of the job

You will need to familiarize yourself with the job description and personal specification.

The post holder will be required to provide a professional, efficient and comprehensive reception service on F19.

Fulfilling all necessary reception, clerical, administrative and general tasks required to facilitate and record patients treatment using paper based health records and information technology. Staff are expected to be courteous and considerate at all time and have excellent customer care skills.

After training the post holder will be required to use the hospital Patient Administration System (PAS) and the case note tracking system to locate and accurately record the movement of patient’s medical records, ensuring all relevant documentation is prepared and made available within the case notes and that all admission duties are carried out to the correct guidelines.

You may be required to attend to any other duties which may be required.

Detailed job description and main responsibilities

KEY JOB RESPONSIBILITIES:

To provide a welcoming, friendly and courteous reception to patients, visitors, carers and internal staff.

Deal with enquires in person or by telephone in an efficient and polite manner. to record patients attendances and accurate data on Medway PAS.

To create and file health records folders.

To locate and retrieve health records from around the Trust.

To prepare the required health records ready for the consultation together with any relevant diagnostic, social and personal information required.

To organise Interpreting Services as required.

To accurately record the outcome of patients appointments on Medway PAS.

To organise and direct patients to attend diagnostic tests/other departments.

To be responsible for making follow up appointments, alterations and cancellations of appointments promptly and within the Consultants booking rules.

To liaise by telephone with patients, General Practitioners, secretaries, ward receptionist etc, regarding hospital appointments.

To screen all new patients on arrival for Overseas Visitor status, contacting the Private Patients Officer as necessary.

To confirm at each patients admission that all recorded details are complete and accurate e.g GP, address, telephone number and to amend these on Medway PAS and within written health records as required.

To communicate with clinic staff, colleagues and patients to explain any delays or problems with the location of health records.

To inform patients of their follow up appointments.

Undertake the distribution and collection of information for surveys and audits as required.

Essential criteria

  • Education in basic numeracy and literacy
  • Evidence of personal development in previous employment

Desirable criteria

  • Competent at using current hospital computer systems such as Notis, Medway and Nervecentre.
  • Experience in keeping Nervecentre up to date to assist the smooth running of the ward.
  • Completed Display Screen Equipment training
  • Nationally recognised qualification in basic literacy and numeracy Keyboard skills

Salary: The quoted salary will be on a pro rata basis for part time workers.

I also consent to the Occupational Health Department confidentially accessing my occupational health records from my current or previous employer in order to check the status of my vaccinations, immunisations s and screening tests as relevant to the post.
